The City of Irvine is seeking customer service professionals with office experience and a passion for serving older adults, to assist with telephone and in-person reception, program information and front office organization at the Trabuco Senior Center. Multiple Part-Time vacancies exist with schedule requirements of up to 19 hours per week.

Essential Duties and Responsibilities:


The following duties are normal for these positions. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.


  • Manage front desk operations in a senior center environment.

  • Receptionist responsibilities include greeting customers, program participants and the public, as well as answering phones, emails and providing resources to patrons.

  • Assist the public in person, provide information pertaining to classes and registration, senior services programs, specialized services, facility information and transportation.

  • Schedule assistance appointments, conduct reminder calls and maintain calendars.

  • Compile survey responses and various program statistics, manage partner agreements and process volunteer records.

  • Edit and maintain program fliers, website, and other marketing materials.

  • Handle a variety of clerical duties including the management of paper and electronic files, data entry, duplicating orders and the maintenance of program materials.

  • HOURS: Various daytime shifts will be scheduled within these core hours: Monday-Friday: 8 a.m.-5 p.m.

Minimum Training and Experience Required to Perform Essential Job Functions:

  • Completion of High School or and one year of experience in a front office/customer service setting, or any combination of education and experience that provides equivalent knowledge, skills and abilities. Associate degree or some college education is desirable.

  • Experience working with public and in a general office environment.

  • Ability to communicate effectively and provide excellent customer service to community groups, older adults, general public, staff and volunteers, in person and over the telephone.

  • Ability to advise patrons on registration procedures and familiarity with program schedules.

  • Word processing and data entry skills preferred.

  • Ability to learn registration software and data entry programs.

  • Experience working in a fast-paced, multi-task environment, with various age groups.

  • Willingness to set up tables and chairs, AV equipment, and assist with facility reservation user group maintenance.

THE DEPARTMENT


Community Services

The Community Services Department has developed over the City’s history into an award winning mixture of programs and services. The Department employs 121 full-time and approximately 500 part-time personnel. Community Service programs/functions include Senior Services, Child, Youth, and Family Services, Animal Care, Recreation and Park Services and Operations, Orange County Great Park, Disability Services, Athletics, Aquatics, Fine Arts Center, Facility Reservations and Contract Classes, Development and Park Planning, Environmental and Open Space Programs, Administrative, Business and Support Services, Community Relations, Volunteer Coordination, Public Information and Special Events, and Transportation Services (TRIPS).


The Department oversees development and maintenance of more than 700,000 square feet of high quality public facilities, creation of community and neighborhood park systems, and operation of existing parks and facilities, which includes: athletic fields and two aquatic centers, multiple community and neighborhood parks, two senior centers, eight community centers, a fine arts center, an adventure playground, a nature center, an animal care center and a skate park.

ADDITIONAL INFORMATION


Part-time employees are employed “at will” and serve at the pleasure of the appointing authority. As such, their services can be discontinued without cause.


Certain City operational budgets may not include funding for mandated CalPERS employer contributions; therefore, a qualified candidate who is a current member of CalPERS may be restricted from temporary/part-time employment with the City of Irvine.
