We are seeking an experienced Executive Assistant to provide executive level support and partnership to two high level General Managers in Windows Marketing. This position will require someone who can adjust direction in response to changing situations, have a focused attention to detail, accommodate different working styles and prioritize their own work and tasks. This position offers a wide variety of administrative functions, as well as the responsibility for executive-level interfaces, working closely with the Corporate VP’s staff as their projects intersect with the executive. This position has outward facing contact with customers, partners and their assistants, as well as frequent contact with individuals of all levels within Microsoft.
Job Responsibilities include, but are not limited to:
Proactively managing a complex calendar with utmost attention to accuracy and timeliness
Complex calendar management manage travel, expenses, multiple tasks and action items (documentation, follow up and preparation) for the CVP ensuring appropriate and timely action on deliverables and effectively prioritizing multiple requests.
Coordinating and scheduling both internal and external meetings, including customer, partner and consultant meetings
Assuring executives’ calendar and events have a smooth execution
Arranging domestic and international travel
Coordinating in-depth field/area visits, distributing schedules and itineraries as needed
Ability to prioritize and juggle multiple projects at once, including solid project-management and problem-solving skills independently, while exercising good judgment and following through on issues in a timely manner
Excellent organizational, analytical and written communication skills
Able to work effectively under pressure and act with appropriate urgency within short time constraints and shift priorities, and in relatively ambiguous and complex situations without having to know all of the details; and to make course corrections as needed in response to changing work situations
Understanding of the business and what is important at different times by mapping where time is spent to key priorities
Manage leadership event planning with little or no guidance
Detailed planning, execution and organizational skills are required.
Provide leadership and feedback to extended Marketing team administrative staff
High level of integrity and ability to manage sensitive and confidential information with discretion and professionalism
Coordinate space planning and office moves for team.
Additional responsibilities include:
Assisting with preparation of presentation materials and off-site meeting logistics, as needed
Process expense reports, while managing to fiscal year budget
Maintain utmost confidentiality with sensitive and personal information.
Ability to anticipate conflicts/changes and act proactively to resolve to efficiently solve difficult or complex problems
Exceptional attention to detail and high accountability with the ability to complete high volumes of tasks on numerous projects
Basic Qualifications:
The ideal candidate will have a minimum of 7+ years of demonstrated success in supporting a senior executive in a fast-paced environment.
Proficiency in Microsoft Office applications is required (i.e. Outlook, Word, Excel, PowerPoint, etc.).
Preferred Qualifications:
BA/BS degree preferred
Knowledge of corporate organization, departmental business practices, and tools are strongly preferred
Overtime and some travel may be required
Experience in a high-technology environment is preferred
Strong working knowledge of MSFT internal tools such as Headtrax, MS Market, MS Expense, My Order and SharePoint.
