DEPARTMENT SUMMARY:

Resource Development (RD) staff work in three main areas: 1) raising private funds and cultivating and maintaining relationships with private donors; 2) defining the agency"s brand, raising our public profile and sharing stories about our work by engaging with the media, the public, and our supporters and producing a wide range of online and offline communications; and 3) educating visitors to our Portland Action Center about issues of global poverty and engaging them in efforts to end it.
The Action Center is part of Resource Development. The Center is Mercy Corps" community engagement hub, a public space that welcomes the community in and a community outreach department that engages a variety of audiences, organizations and businesses in the region. The Mercy Corps Action Center has two primary functions: We build awareness and understanding of global issues through the work of Mercy Corps with a variety of public programs. And we work to raise the visibility of Mercy Corps in this community to help support fundraising.
GENERAL POSITION SUMMARY:
The Mercy Corps Action Center is seeking an Operations Officer to manage its public exhibit space. The position will include facilitating the visitor experience, project coordinating the design and implementation of exhibit content, supporting the IT/AV systems in the exhibit space, the gallery and the event space. The Action Center Operations Officer (ACOO) ensures the public exhibits function correctly, systems are utilized properly during public events, and equipment is well-maintained and upgraded, as needed. The ACOO will collaborate closely with the help desk staff, who provide backup IT coverage for the Action Center.
ESSENTIAL JOB FUNCTIONS:
Administer visitor-related operations:
- Facilitate procedures for reception and greeting of walk-in visitors.
- Lead tours of the exhibit and speak on behalf of Mercy Corps
- Oversee the management of the Quickbooks POS System which includes settling cash drawer and credit card transactions and running weekly and monthly finance reports.
- Develop and maintain connection with Mercy Corps Program Operations and Marketing/Communications (Communications Strategy and Creative Team) to gather accurate content for exhibits and to ensure proper brand messaging.
- Manage Action Center emailing lists for Action Kit for email blasts and facilitating Action Center email blasts for promotion of events and education workshops.
Supervise Action Center volunteers:
- Coordinate recruitment, training, scheduling, and performance management for Action Center front-desk volunteers in line with Mercy Corps policies.
- Develop and administer relevant training of volunteers in general customer service as well as the policies and procedures specific to their areas of work in coordination with the educators and volunteer coordinator.
IT/AV Support:
- Ensure efficient, reliable, and secure operation of all technical services at the Action Center, including computers, monitors, video projectors, audio-visual systems, and videoconferencing systems.
- Perform preventative maintenance and service of all hardware and software in the Action Center. Includes PC repair including memory additions, peripheral devices and software installs and upgrades and maintain virus protection and patch management for all systems
- Work with Action Center staff and others to support the development and rollout of new interactive exhibit technologies.
- Establish proper technical documentation and troubleshooting procedures. Develop and share documentation of key fixes and workarounds with relevant staff. Maintain equipment warranties and software licenses.
- Demonstrated knowledge of the following: audio-visual systems; networking protocol (TCP/IP); maintenance of local LAN (Wireless/10/100bt) utilizing software tools provided by equipment manufacturers; Windows 7 operating system environments and software, particularly for configuring new systems and for handling end-user issues and support; and office web browsers and email clients.
- Other duties as assigned.
Organizational Learning: As part of Mercy Corps" agency-wide Organizational Learning Initiative, all team members are responsible for spending 5% of their work time in formal and/or non-formal professional learning activities.
Accountability to Beneficiaries: Mercy Corps team members are expected to support all efforts towards accountability, specifically to our beneficiaries and to international standards guiding international relief and development work while actively engaging beneficiary communities as equal partners in the design, monitoring and evaluation of our field projects.

ACCOUNTABILITY:
REPORTS DIRECTLY TO: Director of Community Engagement and Mercy Corps Action Center Operations; Help Desk Manager
WORKS DIRECTLY WITH: Action Center and Marketing/Communications Staff as well as all relevant Mercy Corps staff; IT staff at Mercy Corps" headquarters
KNOWLEDGE AND EXPERIENCE:
- Experience working in public spaces, working with the public and speaking to groups in informal settings.
- Experience coordinating, supporting and managing volunteers.
- Minimum 3 years project management and operations experience, including providing technical end-user support.
- Experience with POS systems, processing donations and sales.
- Self-sufficient in server administration including Windows 2003/2008 and Ubuntu.
- Experience with audio-visual systems required – i.e. replacement of video projector lamps, troubleshooting, adjustment of audio systems, adjustment of monitors and other equipment using on-screen display (OSD) menus.
- PC repair experience required, including memory additions, peripheral devices and software installs and upgrades.
- Experience writing technical documentation preferred.
- Demonstrated knowledge of the following networking protocol (TCP/IP); maintenance of local LAN (Wireless/10/100bt;VLANS, DNS, DHCP/Static IP addressing and KVM/VNC/RDP) utilizing software tools provided by equipment manufacturers; Windows 7 operating system environments and software, particularly for configuring new systems and for handling end-user issues and support; and office web browsers, and e-mail clients.
- BA/S or equivalent in Information Technology and/or Exhibit Space Management or Program Management is ideal.

The successful Action Center Operations Officer is organized and personable with excellent project management and people skills. They will possess effective verbal and written communication skills and will be able to interact professionally with a diverse group of staff and the public. They will have a passion for global issues and international development and be well read in current global events. S/he will have the ability and motivation to learn new technologies quickly and with minimal support and guidance. The Operations Officer will possess effective time-management and task-management skills to accomplish multiple competing priorities and will be tolerant of the ambiguity inherent in a public space operating several programs within the larger context of an International Nongovernment Organization. S/he will have strong problem-solving and trouble-shooting skills; the ability to work productively in teams and independently; and will be friendly, approachable, and dependable.
LIVING CONDITIONS/ENVIRONMENTAL CONDITIONS:
The position is based in Portland, OR and does not require travel. Mercy Corps Team members represent the agency both during and outside of work hours when deployed in a field posting or on a visit/TDY to a field posting. Team members are expected to conduct themselves in a professional manner and respect local laws, customs and MC"s policies, procedures, and values at all times and in all in-country venues.
