The Program Assistant will provide logistical support for Agriculture and Nutrition (AgNut) programs as well as support for the US office director. The program assistant will support staff, maintaining and expanding capacity to manage travel, meetings, budget, and contracts; enhancing the effectiveness of the AgNut program and the US office. This position will be dedicated 80% to supporting the Agriculture and Nutrition Global program and 20% to US Office program development.
Responsibilities
****Agenda Management and Meeting Coordination****
- Coordinates domestic and international travel, hotel, and transfer arrangements for the Director of Agriculture Nutrition and GAIN Washington Office Director.
- Manages the daily agenda and schedule of the Director of Agriculture Nutrition and GAIN Office Director.
- Responsible for the timesheet records and monthly leave reports.
- Manages logistics for key meetings, events and calls; plans, organizes and coordinates the meeting and calls, arranges all related communications and where necessary takes meeting minutes.
****Correspondence and Document Drafting****
- Prepares presentations, graphics, infographics and charts.
- Assists in the development of concepts and workplans within the Agriculture and Nutrition Global Program
- Participates in the preparation, formatting and coordination of donor reports and proposals.
- Assumes responsibility for the preparation or the required documentation for key meetings; and assures that these are prepared and delivered in a professional and timely manner.
Contract-Related Tasks
- Support in the preparation of related contract documents for external GAIN consultants, grant agreements and other designated contractual documents as required – ensuring they are routed through GAIN’s standard contracting processes.
- Prepare and format standard contracts and related documents, in strict compliance with the standard contracting process and templates, and assist in the preparation of complex contracts.
- Assist in the process of identifying and selecting service contractors.
****Budget-Related Tasks****
- Prepare accounts payable documents (e.g. invoices, payment requests) for approval.
- Work with accounting and program associates to ensure all project related expenses are properly coded to ensure the accuracy of financial reporting.
- Assist the team in the development of documentation relating to budgets, cost analyses, reports and forecasting.
****Travel-Related Tasks****
- Prepares documents/briefings for travel.
- Prepares and processes travel expense claims as per GAIN policies and procedures.
Experience
- More than 5 years experience in program support.
Skills & Attributes

- Skilled PowerPoint & Excel user
- Knowledge and understanding of basic financial principals is desired
