Executive Assistant


Reporting to the Senior Vice President of Development, the Executive Assistant will provide a high level of secretarial and administrative support to the Senior Vice President (SVP). The position will have overall responsibility for scheduling and assisting in the preparation of meetings, travel arrangements, and appointments.


Key Responsibilities/Outcomes (include but are not limited to):


  • Schedule and prioritize multiple internal and external meetings

  • Prioritize e-mails

  • Draft responses

  • Screen and respond to phone calls

  • Coordinate extensive domestic and international travel arrangements

  • Process e-mails and redirect if necessary

  • Maintain filing system

  • Process expense reports

  • Ensure SVP has all necessary documents for high level meetings

  • Prepare support for Division All Staff meetings

  • Provide support to National Committee meetings with board members

  • Prepare agenda for SVP Direct Reports meeting as well as other meetings where appropriate

  • Handle other administrative details as needed

Qualifications:


  • Associate’s degree and a minimum of 5 years’ related experience supporting senior executives

  • Proven ability to handle multiple, complex tasks simultaneously, and thrive in a fast-paced environment

  • Ability to take initiative and interface with all levels of staff and senior executives both internal and external to the organization while maintaining tact, diplomacy, and confidentiality

  • Ability to build relationships with individuals with diverse personalities, styles and at different levels of seniority

  • Proven ability to prioritize; work independently and handle multiple, complex tasks simultaneously

  • Strong interpersonal, time-management and oral & written communication skills; ability to compose, edit, and proof correspondence and documents

  • Keen attention to detail, flexibility in high-pressure situations and the willingness to assist with all tasks needed to ensure the success of the development team

  • Ability and willingness to work a flexible schedule that includes some evening commitments

  • Strong Proficiency in Microsoft Office; must possess excellent typing skills
