The Associate is responsible for supporting the logistics and operations needs of the unit; managing the social media, intranet and website content; and assisting in the planning and execution of internal and external events and meetings.
Specific Responsibilities
Operations and Logistics (45%)
- Provide general administrative assistance to the Policy and Advocacy Unit including mailing, tracking, filing, and contact management, etc. Assist in scheduling and organizing events, office meetings, and appointments.
- Maintains project and advocacy tracking sheets for ongoing activities and pending items.
- Under the direction of the Policy and Advocacy Manager, recruit, orient, brief and help manage interns for the unit.
- Prepares routine purchase order requests and orders and process invoices; disseminates correspondence and other documents as needed.
- Coordinate and provide backup support when requested.
- Coordinate international/domestic travel, visa and hotel arrangements for Unit and speakers, ensuring compliance with donor and MSH regulations.
- Provide general back-up support to Unit when others are traveling.
Information Management and Communications (45%)
- Provide assistance with research for presentations and events that MSH is engaged in as requested.
- Maintain the unit’s intranet pages; draft and post content for Friday Focus newsletter, the MSH blog, and Twitter; download and organize monthly analytics for platforms, manage MSHActs social media platforms.
- Liaise with MSH’s corporate communications department on MSH Facebook and Twitter accounts.
- Create flyers and microsites for events and study tours when needed.
- Gather and circulate unit’s communications materials as needed for the office.
- Assist with development of materials for Congressional and administration meetings.
- Manage shipping of branded materials to MSH global offices when requested.
- Provide support to MSH technical teams by providing administrative and communications assistance for events.
- Support the development of documents and reports used for unit.
