Order Entry Representative The Order entry representative is responsible for entering orders in our system within 48 hours of receipt while maintaining accurate data within our systems. The representative will work with several different areas to accumulate and validate information that will be entered in the system for each customer across all divisions while maintaining knowledge of each system. Specific Responsibilities Enter customer orders with a 48 hour period of receiving. Edit customer orders per request of customer, customer service, or production. Log orders on to the order tracking system that generates the performance reports. Communicate with customer service on orders with issues, this includes keeping a log of orders given to the customer service department, and following up in a timely manner for updates on their communication with the customer about the issue. Keep record of art in process for orders keyed Make any modifications to the art in the zodiac or Cumulus system, when requested by customer, sales, art department or customer service. This can include but is not limited to, changing a color, layout, font or creating an entirely new screen for the order. Send Art Approvals from the art department to the customer. Receive response from customer and inform the art department of the customer’s decision. Update cumulus card though out the approval process. Maintain a clean and organized work area. Knowledge Must display an understanding of Vis-d, Zodiac and Cumulus systems. Must display the skill to enter and edit orders though Vis-d and Zodiac. Must display knowledge of product, including construction and fabrics. Must display ability to understand and edit the Cumulus System. TEAMWORK Assists and trains new team members. Works cooperatively with the art department to ensure art is correct and approved by the customer. Lends back up support to team members who are out of the office. Shares any knowledge gained of procedures that may assist in daily responsibilities with other team members. Allows others on the team to instruct on new or better ways to improve day to day functions. QUALITY Meets or exceeds goal of entering orders within 48 hours of receipt. Completes changes requested by customer, customer service, art department or production within the same business day. Sends all art correspondence within the same business day. Orders are triple checked after entry to ensure accuracy. Contributes to a healthy work environment by maintaining a positive attitude in all situations.
