Position Summary

This position provides advanced and highly confidential administrative support to the Director or Vice President requiring broad experience, skills and knowledge of organization policies and practices. He/She maintains schedules, workflow and performs general office duties involving word processing, filing, telephone and reception. The Admin Asst collects and analyzes data for reports, makes appointments and travel arrangements, works with highly complex and confidential documents and reports. He/She has day-to-day responsibility for programs/processes specific to the operating unit and assists in projects of a small to moderate nature and scope. This position may compose moderate to complex correspondence, standard and ad hoc reports, presentations materials, etc. He/She maintains office files and records, uses PC and multiple software packages for moderately complex support functions, acts on executive’s behalf and makes judgment decisions in the executive’s absence. The Admin Asst has limited use for those who work in highly confidential or administrative areas. He/She may lead lower level support staff.

Minimum Qualifications

Education, Credentials, Licenses: High School graduate. Some post high school education with emphasis on secretarial, computer and business skills Specialized Knowledge: Demonstrated advanced level experience with current software programs utilized within department where position exists. Experience with developing and mailing spreadsheets, and/or database programs. Typing requirement 60-70 wpm. Proven ability to handle highly confidential information discreetly. Kind and Length of Experience: Six years progressive, related secretarial/administrative experience.
