ESSENTIAL DUTIES AND RESPONSIBLIITIES
Include some or all of the following. Other duties may be assigned.
Answers the telephone, gives information to callers, routes calls to appropriate staff and places outgoing calls.
Greets visitors, ascertains nature of their business, notifies staff of the arrival of appointments.
Schedules appointments, gives information to callers, and otherwise relieves others of clerical work and administrative detail.
Reads and routes incoming mail. Locates appropriate file for correspondence to be answered or references.
Prepares memorandums. Composes and types routine correspondence.
Provides support in such areas as reception, document control, personnel administrations, purchasing and data entry.
Prepares proposals, reports, manuals and procedures.
Maintains appropriate files.
Prepares correspondence, reports and other written documentation as necessary.
Operates office equipment such as computer, calculator, fax and duplicating machines.
May take dictation in shorthand or by machine; transcribes notes on computer or transcribes from voice recordings.
May assist in maintaining various fiscal, program and personnel records; posts and balances receipts, prepares bank deposits; or receives money on behalf of the organization
Job Requirements
Education and/or Experience
Entry level requires at least one year of clerical experience or certificate from a college or technical school and related experience or equivalent combination of education and experience.
