Job Title: Operations Associate (Operations, Procurement, Logistics, Administrative and Office Management) – Washington, D.C.

POSITION SUMMARY:
Under the supervision of the Senior Operations Officer, the Operations Associate is responsible for excellence in all Operations functions at GSO and in support of the field offices including procurement, logistics, warehousing, inventory and shipping, assets, fleet, travel.
Operations – Procurement. Logistics & Administrative
- Responsible for ordering and restocking supplies, and managing relationships with outside vendors.
- Assist in travel and in updating travel tracker and making travel services as and when required.
- Reconciling monthly Operations Credit card statements.
- Assist in Producing Purchase Request Forms.
- Conduct internet research, price comparisons of shipping costs, and miscellaneous procurement related duties as needed.
- Organize RI’s emergency assets and keep accurate records of their storage, movement
- Maintain Inventory databases and keep track of Asset Inventories, assignments and movement and produce necessary documentation.
- Tracking/organizing operations databases including Inventory and Purchase request Database
- Organize RI emergency assets and visibility items and keeping accurate record of their storage, movement and condition.
- Maintain proper filing / e- filing of Procurement Request, Travel request and other Operations related documents by ensuring all documentation is provided and complete.
- Travel to country offices to provide assistance and training as needed.
- Responsible for travel accommodations for visiting staff and visitors
Office Management
- Assist with front office duties such as answering the phone and distributing mail, and special office projects
- Provide administrative support including but not limited to –copying, scanning, faxing, filing and recordkeeping.
- Provide support in Tracking of Bank Letters, Power of Attorney and Board Resolutions –input into database
- Thank you letters sent to people who have donated and Send Tax Receipt Letters for all donations received.
- Assist in OFAC and State Registration process and renewals.
- Liaison with Embassies in obtaining timely updated information, visas, work permits, Country Office registration, documents authentications.
- Assist in organizing events such as meetings, conferences, and departmental activities.
QUALIFICATIONS & REQUIREMENTS:
This position demands a dynamic individual with a demonstrated ability to achieve results in a demanding and fast paced environment.
- At least 2 years experience with international relief and/or development programs, preferably in community sustainable development and/or post-conflict humanitarian aid with progressive development of the skill-sets outlined above
- Demonstrated ability to work effectively both as part of a team and independently
- Demonstrated ability to take initiative, problem-solve and manage competing priorities
- Strong project management and leadership skills
- Extremely detail-oriented
- Proven ability to work under pressure and solve problems in fast paced environments
- Comfort with ambiguity; adaptable
- Professional, positive, energetic, and patient attitude with a good sense of humor
- Ability to respect confidentiality with respect to HR and financial issues
- Ability to travel internationally
- An analytical mindset with strong problem solving, communication, and writing skills
- Ability to lift 25 pounds and sit for sustained periods of time
- B.A. in management, administration or related field
- Minimum of 2 years previous logistics and operations experience
- Outstanding organizational and time management skills
