The IRC has defined a new strategic mission and vision, along with initiatives and key processes that will deliver to the strategic objectives. The Strategy Unit will be responsible for actively supporting the planning and execution of those initiatives by the relevant organizational owners, including project management and governance support. The Strategy Unit will also provide problem-solving support to the organization, by supporting particular initiatives or removing barriers that emerge during implementation.


Job Overview/Summary:


This role is responsible for a range of administrative, logistical and communication functions to ensure that the Strategy Unit’s activities move forward as effectively and efficiently as possible. The right candidate possesses strong communication, organization, and interpersonal skills, pays attention to details, and has a highly responsive, service-oriented attitude.

Major Responsibilities:


Administrative


  • Ensure meetings and internal conferences run as smoothly and efficiently as possible. Manage meeting invites and conference call details, organize meeting logistics, book facilities, prepare meeting materials, prepare minutes and actions, and coordinate follow-ups.

  • Arrange travel, process expenses, purchase requests, purchase orders, invoices and payments. Track expenses against the budget, and serve as focal point for reporting of budget status against projections

  • Manage the consolidated plan by gathering information from focal points, updating and publishing regularly. Follow up with stakeholders.

  • Support the recruitment and orientation of new team members, including filing HR paperwork, coordinating desk and computer set-up, and arranging interview and orientation schedules.

Communications


  • Manage content on the internal Strategy Portal and Intranet sites, liaising with a range of stakeholders to keep content updated and relevant

  • Analyze and report on monthly portal usage metrics, identifying trends and implications for relevant stakeholders

  • Manage change request backlog, provide recommendations for prioritization and project managing process for feature additions or bug fixes

  • Lightly moderate internal strategy discussion board, identify opportunities for stakeholder input

  • Respond to day-to-day communications and queries on strategy implementation

  • Manage vendor relationships with developers, designers, and translators, and coordinate deliverables between them and the IRC.

  • Collaborate with a network of internal communications contacts on strategy communication needs

  • Edit, proof, and format documents, prepare materials for internal and external stakeholders

Job Requirements:


Minimum Requirements


  • Bachelor’s degree or equivalent with at least 2 years of professional experience.

  • Solid organizational skills; detail-oriented; ability to multi-task and prioritize tasks; and to learn quickly.

  • Excellent interpersonal and communication skills: the ability to successfully and effectively liaise with people within and across departments in a multi-cultural environment.

  • Accurate writing skills.

  • Strong proficiency in MS Excel, PowerPoint and Word.

  • Ability to work independently, resourcefully and to own initiative, with flexibility to changing priorities and an eagerness to learn.

Preferred Additional Requirements


  • Experience in the humanitarian or general non-profit sector.

  • Experience in budget management.

  • Experience with Box document management, Drupal, and WebEx.

  • Knowledge of basic HTML coding

  • Knowledge of French or Arabic.
