This position is located in the Department of Labor, Office of the Assistant Secretary for Administration and Management, Administrative Services Division, New York. The incumbent performs duties in support of mail management and general reception functions. Tour of Duty will be Monday – Friday 8:30am to 5:00pm. Travel Required:

DUTIES

Incumbent collects outgoing mail from DOL agencies and uses the mail meter equipment to assign the correct postage to all outgoing mail. The appropriate agency mail code is charged to each piece of outgoing mail. All outgoing mail is correctly metered and consigned to the USPS on the date received. The correct postage rates are assigned for all categories of mail, including certified, registered, return receipt and other special services. Outgoing mail is continuously reviewed to ensure that the most cost-effective procedures are used and also to ensure that outgoing mail conforms to applicable DOL and USPS regulations, policies and other requirements. Incumbent immediately brings meter errors, discrepancies, problems, and other anomalies to the Team Leader’s or Supervisor’s attention.


Incumbent uses the mail meter equipment to download monthly reports of agency piece counts and mail code charges. From these reports, incumbent prepares and submits accurate monthly reports to the National Office Mail Manager by the required due date each month. Incumbent uses the National Office reports to prepare and submit accurate agency-specific reports of monthly piece counts and mail code charges to customer agencies by the required due date each month. Incumbent generates additional mail reports as requested by the Team Leader or Supervisor.


Incumbent greets visitors to the office and receives and responds to incoming telephone calls to the office, determines the nature of requests, and directs visitors and callers to the appropriate staff, or personally provides the information requested. Incumbent monitors the main (public) incoming line for the office as well as the Administrative Services Help Desk line, and responds to live callers for both lines. Incumbent immediately retrieves and responds to voicemail messages left on both lines.

QUALIFICATIONS AND EVALUATIONS

Qualifications Required: All applicants must meet either the experience or substitution of education for experience described below.

For GS-5: one year of specialized experience equivalent to at least the GS-4 level. Examples of Specialized experience include administrative support duties such as: file management, scheduling appointments; responding to administrative problems brought to the supervisor’s attention; ability to interpret and apply policies and procedures; ability to communicate effectively; and experience demonstrating good customer service skills.

Four years of college level education in any major studies. (Applicants who apply on the basis of education must submit their college transcripts.)
