The BASF Freeport site is seeking a highly motivated Administrative Associate with demonstrated ability to effectively and efficiently provide administrative support to the Operations VP and two other director level positions. This position will frequently have contact with high level executives of BASF, both domestic and international.
The ideal candidate is highly articulate, proactive and self-motivated with a demonstrated ability to thrive in a dynamic environment. The successful candidate must be able to work under minimal supervision and take initiative to make decisions within a limited scope. This position also requires the ability to prioritize requests from multiple sources in order to successfully meet requested deadlines and objectives.
Responsibilities include, but are not limited to:
- Administrative support to the Operations VP and two Directors
- Scheduling appointment/meetings, maintaining calendars, preparing agendas, initiating/preparing correspondence, making travel arrangements, process expense reports, screen incoming calls and respond independently when possible
- Submit IT access requests in support of office equipment, mobile phone, PC’s shared files and other network support for team members
- Perform and follow up on various projects and administrative functions for the department
- Act as conference room administrator in order to resolve conflicts and serve as focal point for meeting room equipment operability and maintenance (“smart board,” projector, PC, conference phone, Local Area Network (LAN) and wireless connectivity, etc.)
- Maintain assigned databases, shared spreadsheets/documents, update organization charts, team distribution lists, emergency manuals, etc., and oversee shared folders as well as coordinate document retention activities
Assist with community events such as Habitat for Humanity – Walk for Habitat, Be The Match, Relay for Life, etc., which occasionally require after hours and weekend commitments.
Qualifications – BASF recognizes institutions of Higher Education which are accredited by the Council for Higher Education Accreditation or equivalent
Required qualifications:
- High school diploma or GED required
- Minimum seven (7) years secretarial or administrative experience which includes progression to positions of increased responsibility and technical difficulty
- Proficiency in Microsoft Office Suite, and e-mail communication tools
- Must be able to handle confidential and sensitive information
- Ability to multi-task and has strong organizational skills and attention to detail
- Ability to learn various BASF administrative systems such as Check Request System, SAP, Expense Reporting, AccessIT, etc.
- Excellent interpersonal skills
- Strong written and verbal communication skills
Desired:
- Experience providing administrative support to a senior executive
- Microsoft Office Certification is desired
This position requires all candidates to either currently possess or obtain and maintain a TWIC (Transportation Worker Identification Credential) Card from the U.S. Department of Homeland Security.
