My client is a extremely successful organisation with revenues of 17 billion. 


They are based in Hemel Hempstead and have a position for a 9mth FTC ‘Tender Coordinator Administrator’ 


This role is a full-time position working 7.5hr a day offering 20-22k.


Job Description


This role is to support the smooth running of the Sales Order Processing Department by supporting the UK Sales Teams in achieving UK Sales Targets, resulting in increased Sales; CAS score and maintain a high level of Customer Service.


This will be achieved by completion and timely submission of responses to all tenders, including any post tender revisions and managing the process of preparing orders for processing where a contract is awarded.


Tender Co-ordination


 Assist Senior Tender Coordinator with implementing and maintaining a “Library” system which will house all relevant information that will be required. E.g. Financial Reports, Certificate of Insurance, PPQ’s etc.
 Assist with the preparation of orders for processing where the company is the successful bidder, including checking purchase orders against quotes, ensuring T&Cs are agreed, collating all necessary information that is required (inc. 3rd party quotes etc.) Liaising closely with the SOP Team. E.g. passing order across in a timely manner to Sales Order Processing Team for processing.


Record Keeping


 Assisting with recording and maintaining records of all tenders issued.
 Regularly update internal spreadsheet to ascertain hit rate together with monitoring
of losses. Liaise with salesperson required and produce regular consistent monthly reports to review with Senior Tender Coordinator and Site Leader.


Sales Call Administration


 Assist with calls of a general nature where the request is for “Instrument Sales” pass to relevant person for investigation and ensure appropriate action is taken.
 Provide support to the Senior Tender Coordinator in relation to Lead Administration
 Ensure all leads received are entered onto SalesForce.com and recorded on internal spreadsheet.
 Ensure all leads appearing on SalesForce.com are appropriately actioned (Inform sales person and distribute necessary literature etc.)
 Assist with Lead Bonus Administration – Submit payments to payroll on a quarterly basis.


Provide support to the Sales Order Processing Team


 Assist with generating quotes as required.
 Regularly update Quote Generation Form, as required.
 Complete Supplier Questionnaires for customers we engage in business with.
 Assist with recording and regular updates of Practical Process Improvement outputs to produce key business metrics and concise effective reports in a timely manner, utilizing all appropriate highlighted materials in order to achieve business improvements.

Relationships


 Daily report will be to the Senior Tender Coordinator, to achieve maintaining and developing the Tenders department by achieving daily tasks (inc. all reporting aspects) meeting deadlines, strengthening relations with UK Sales Team and all internal departments.
 Build and strengthen all external contacts with customers and potential customers.
 Regular departmental contact with UK Sales Team and internal Warehouse department for timely and efficient handling and dispatch of tenders.


Person Specification


 Experience in providing excellent Customer Service
 Experience in providing high level of administrative support
 Able to work effectively as part of a team
 Strong negotiating/persuading skills
 A thorough approach with attention to detail
 High level of communication and interpersonal skills
 Strong PC skills (Knowledge of Word/Excel essential)
  Able to work in a fast paced/pressured environment
