Duties and Responsibilities:
- Provides direct staff support to the Director of the Office of Resident Services, manages schedules, calendar, general and confidential correspondence.
- Provides administrative staff support for the coordination of critical office services such as correspondence and records control, special projects, ORS program status reports, staff meetings and/or conferences, the development of various informational materials and the dissemination of program information.
- Participates in the development of ORS program brochures, flyers and posters ; translates documents as assigned, disseminates written information to DCHA departments, targeted public housing developments, and/or public and private agencies when required.
- Handles petty cash and provides expense reports. Also prepares travel requests, orders supplies and processes all purchase requisitions and invoices for payment.
- Maintains bookkeeping records and ledgers as it relates to various programmatic budgets.
- Processes staff time and attendance for payroll, and logging of leave.
- Identifies administrative needs of ORS and develops appropriate solutions and/or recommendations.
- Implements and maintains a manual and/or automated administrative filing system as necessary; maintains confidential and specialized files, records, and reports.
- Assists in the coordination of departmental meetings and other program activities.
- Serves as the Team Leader for volunteers and NCBA placements.
- Performs word processing and desktop publishing to include presentations, spreadsheets and graphs; transcribes information of a technical and/or sensitive nature; may be required to take minutes at meetings and of conference calls.
- Assists with event planning and serves as point-of-contact for various departmental functions.
- Performs other related duties as assigned.
Qualification Requirements:
At least an Associate’s degree from a two-year college and five (5) years’ related experience; or the equivalent combination of education and experience which meets the minimum qualifications requirement may substituted. Experience working with senior level staff is a must.
