Job Duties and Tasks for: Customer Service Scheduler

This is a seasonal Part-Time, Flex Schedule (Extra hours available for fill-in aka back-up coverage) Position. This is a 100% work from home telecommute position. Usual hours for this position are one full day per week (9-6) with the opportunity to grab extra hours by taking early (7-9 a.m.) or late (5-7 p.m.) calls for scheduling during high call volume seasons. Hours range from 10-30 hours per week. Hiring immediately for pre-season training.

Requirements:
1)The right candidate has a strong ability to articulate, schedule, search and update customer information, with an amazing ability to multi-task. Answer high (incoming and outbound) call volume customer service phone calls with a smile and the ability to field most calls live. Ability to simultaneously converse while entering data from each phone call into our scheduling software. Experienced call center candidates will find this position to be a great fit with all of the comforts of home. Type 45+ WPM.

2) Remote Access.


  • Equipment Necessary; Internet (High-speed) wired into a desktop or laptop. Designated Phone Line- preferably a landline. A private home office location. Low noise area to work in.

3) Relay work orders, messages, and information to or from field staff per scope of individual jobs and or customers specification.

4)Articulate well with customers or supervising personnel in order to address questions, problems, and requests for service.

5)Prepare daily work schedules.

6) Receive and schedule, incoming and make outgoing reminder calls for work orders created in specialty Software.

7) Oversee communication to in-the-field technicians.

8) Monitor personnel and/or truck locations with GPS in order to coordinate service calls and schedules throughout the day.

9) Record and maintain customer requests, work or services performed and other dispatch information.

10) Determine types of work for scheduling and have a strong sense of discernment for urgent, regular, and customer satisfaction type work orders.

11)Use calm and logical judgement to adjust and route service technicians for efficiency while serving customer needs as priority. The candor and flexibility to reschedule if problematic service and or tickets arise, with professionalism.


12) Schedule irrigation technicians to appropriate locations according to customer requests, specifications, or needs, using Hindsite Scheduling, telephone and text communication.

13) A sharp mind for updating and imputing customer information.

14) A good knowledge or understanding of local areas for scheduling in like areas, zip codes, and city limits.

15) A Team Player with the desire to be poised with job ownership skill. You own your job and you like what you do.

16) Impeccable communication skills both verbally (great articulation skills) and written.

17) A knack for solving demanding Customer Service issues and or requests. Appreciation for problem solving and you foster the innate ability to solve or help solve the problem.

18) Organized, and able to followup on a high volume of messages, or call backs. Neat and decisive writing skills, with the ability to transfer notes.

19) An understanding of Sprinkler Irrigation Systems is a plus. Otherwise we train.

20) A “Happy Day” disposition you are naturally a happy person who likes talking on the phone and you genuinely enjoy people. Our customers sense that over the phone and trust and like you easily.

21) Strong customer service skills with the ability to quack, quack, let it roll off your back. In customer service we try to make everyone happy but sometimes we just can’t. You’re an individual that can still be happy when the unhappy persona can’t be! You don’t take it personally.

22) As Scheduling Specialist- you understand with training the ability to schedule set amounts of said appointments for each technician in a realistic timeframe daily.

23) You follow without complaint the instructions of management and owners as needed.

24) You are trusted with confidential information and materials and agree to not share, use or exploit private client information not limited to private personal information to financial data.

25) You work well independently and as a team player.

26) An understanding of Microsoft Office, Excel, Word, PowerPoint, etc. is helpful

27) Technology Savvy- Tablet, Computer, Database, Internet, GPS. PDA’s, Google Mail and Calendar Knowledge.
