JOB SUMMARY:


EngenderHealth is in the process of adopting a new intranet platform and strengthening and improving the use of the intranet generally across the organization. The Intranet Coordinator is responsible for day-to-day operation and management of the company intranet. This person is responsible for maintaining the visual design, site navigation and site content. They are also responsible for coordinating key stakeholders, engaging and training users, and monitoring the health of the underlying technology. During the design and rollout phase of the new intranet platform, the Intranet Coordinator will coordinate the project to build a new intranet, utilizing a new intranet platform. For all stages of the intranet’s development, this person will work on the overall visual design, site navigation, site content, engagement and training of users, coordination with key stakeholders and oversight of the technology, in coordination with the Intranet Taskforce.


RESPONSIBILITIES:


Content: The actual words and files on the intranet


· Support the creation of a visual design and theme for the intranet, in coordination with the Internet Taskforce


· Develop and enforce content guidelines and governance, in coordination with the Internet Taskforce


· Support efforts to create and maintain a sound site navigation (information architecture), in coordination with the Internet Taskforce


· Ensure content is migrated from existing sources or developed, as necessary, to allow for full functionality and archiving of previous systems


· Identify pilot users and test functionality prior to launch, as needed conduct research to understand intranet user needs


· Manage the homepage to maintain a proper balance of content and tools


· Ensure consistency in content, while allowing autonomy and customization from local editors


· Lead projects to improve sections of the intranet or deliver new tools through the intranet


· Monitor user-generated content for appropriateness


· Monitor site analytics and report on key performance indicators (KPIs)


· Lead quarterly meetings of intranet focal points to troubleshoot issues, ensure content is up-to-date and support user needs.


Technology: The underlying hardware and software


· Understand the basic technology platforms at play


· Liaise with the IT Department and software vendors on technical questions of implementation and upgrades


· Manage common administrative tasks in the intranet software, or liaise with IT staff around those tasks


Engagement: Interaction with users and stakeholders


· Coordinate Intranet Taskforce (during and after rollout)


· Work closely with key stakeholders to understand their needs and involve them in planning and problem solving (including Communications, IT, HR, Risk and Legal, as well as executives and administrative staff)


· Coordinate the efforts of central content owners


· Involve users in structured design and planning activities


· Communicate actively with all main stakeholder and user groups


· Support intranet users in maintaining active communities, to improve sections of the intranet, or to deliver new tools through the intranet


· Support the rollout of intranet to global, regional, and country offices, and after rollout provide orientations and training


· Identify and implement engagement strategies to increase user participation on the Intranet


· Keep up with the latest trends, tools and practices in managing social intranets, effective knowledge management to increase collaboration and learning within the organization


EDUCATION, EXPERIENCE & CERTIFICATIONS:


· BA in computer science, communications, knowledge management, public health or related field


· 2-5 years’ experience working in knowledge management, managing websites and/or intranets


· Experience with content management systems, HTML, ThoughtFarmer, social media, and print and image editing required


· Experience in global health preferred


KNOWLEDGE, SKILLS AND ABILITIES:


· Excellent writing and communication skills, with a particular focus on writing for the web and social networks


· Excellent organizational and project coordination skills


· Basic understanding of the components of common web technology (HTML, CSS, Javascript)


· A self-starter with good judgment, the ability to work in a fast-paced, creative environment, and adapt quickly to changing needs and priorities


· French fluency not required but a strong plus.


· Willingness and the ability to travel domestically and internationally as needed (<10%)
