JOB SUMMARY:
The Program Assistant, supervised by the Program Associate, provides and coordinates timely programmatic and administrative support for three teams under the Strategy & Impact Division, including the Clinical Support Team (CST), the Knowledge Management, Monitoring, Evaluation, and Research Team (KMMER) the ExpandFP Global Project Team. S/he provides general program assistance for the preparation of work plans, budgets, contracts, sub-agreements, donor reports, reports, and presentations. S/he responds to information and program requests, liaising with other headquarters and project staff, scheduling meetings, facilitating and supporting communications, and maintaining information systems so that a global staff can access what is needed in a timely manner.
RESPONSIBILITIES:
For all teams, the Program Assistant will (40%):
· Assist in the coordination of the review and editing of documents, including presentations, donor reports, technical and scientific briefs and reports, publications, and work plans.
· Schedule meetings and document meeting outputs/outcomes (including meeting minutes).
· Conduct internet and literature searches as requested, including summarizing studies/reports/documents and organizing electronic files to facilitate staff access.
· Assist with the development, review and processing of team and project budgets, contracts, sub-agreements and consultancies.
· Assist in planning and preparing for technical assistance visits, including coordinating visit schedules and preparing background materials.
· Provide logistical and administrative support for staff travel, workshops, and conferences. This may include coordinating with meeting venues, developing draft budgets, liaising with travel agent for flight arrangements, and preparation / processing of trip and expense reports.
· Maintain the team intranet pages (e.g., developing content, cross-linking pages, collecting resources for posting, removal of outdated information, etc.).
· Support the management of the MER and CST Communities of Practice.
· Maintain roster of consultants.
· Provide additional administrative support as assigned.
Specifically, the Program Assistant will also provide the following support to the ExpandFP Project (20%):
· Assist in coordinating with other departments at headquarters and in the field to ensure adequate support for reporting, forecasting, budgeting, and project start-ups/close-out activities.
· Work with communications team to ensure ExpandFP project/country pages on EngenderHealth public website are kept up to date.
· In coordination with the communications team, assist in promoting the project’s online presence and social media interaction, including creating and scheduling posts, monitoring content, etc.
Specifically, the Program Assistant will also provide the following support to the CST team (20%):
· Assist with development and production of training documents.
· Maintain Clinical staff information files (licensing as per Clinical Care and Surgical Practice Policy).
· Assist Senior Program Associate in the management of the FP Compliance SOP filing requirements.
· Support the implementation of the Complications and Mortality protocols.
· Support communications between headquarters and field programs around clinical issues.
Specifically, the Program Assistant will also provide the following support to the KM and MER department (20%):
· Assist with data entry as needed, under the supervision of MER staff.
· Coordinate review and assist with editing of study documents, including protocols, data collection instruments, and ethical review documents, under the supervision of MER staff.
· Assist with the organization and maintenance of knowledge repositories, including the MER studies database.
· Assist with monitoring compliance with EngenderHealth’s Standard Operating Procedures for research and evaluation studies.
· Support the coordination of technical review for knowledge products and studies, under the supervision of the Techical Advisor and Program Associate for Research and Learning.
· Support the monitoring of knowledge product pipelines for projects.
EDUCATION, EXPERIENCE & CERTIFICATIONS:
· Bachelor’s degree in public health, management, international development or other relevant area required.
· 2+ years of experience working for an international organization, preferably relevant to family planning/reproductive health or global health.
· Familiarity with working with private foundation and/or USAID-funded contracts or cooperative agreements.
· Administrative and organizational skills working with technical staff as well as grants and contracts, compliance, human resources, and/or finance departments within an international organization.
· Experience with grants management strongly preferred.
· Experience working in matrix management structures preferred.
· Experience working in diverse cultural settings and sensitivity to local contexts desirable.
· Experience working in/with low and middle income countries highly desirable.
KNOWLEDGE, SKILLS AND ABILITIES:
· Professional proficiency in French required, both written and oral (will be assessed).
· Excellent synthesis, analysis and writing and oral communication skills.
· Exceptional interpersonal communication skills and ability to work cross-culturally.
· Ability to conduct thorough literature reviews and database research; familiarity with PubMed, Popline, and common SRH journals and internet resource sites preferred.
· Proactive, with the ability to work both independently and collaboratively with multiple and diverse teams including with teams based in different locations and time zones.
· Excellent organizational skills with the ability to think strategically and work on multiple projects simultaneously under pressure of deadlines;
· Strong skills in MS Office applications required, in particular Excel; familiarity with ThoughtFarmer or other webpage design/maintenance software desirable;
· Ability to creatively search for information or solutions to solve problems independently.
· Ability to develop, analyze and monitor budgets.
· Knowledge of social media platforms in a professional context is an advantage (e.g.: Facebook, Twitter, etc.).
