Shipping and Receiving Clerk job - Clarkson University - Potsdam, NY





Act as the primary contact for the University Shipping/Receiving Department. Assist customers/vendors with the Shipping/Receiving process and protocols.


  • Receive, scan into the Arrival System, verify address and label for delivery, all incoming packages from carriers and vendors. Inspect to ensure an accurate count of items delivered.

  • Inspect incoming packages purchased through a PO and complete the purchase requisition in the People Soft system.

  • Receive and inspect (for damage) all deliveries, if there are damages or shortages contact Purchasing or the vendor for corrections.

  • Off-load tractor trailer deliveries by means of fork lift operation.

  • Set up delivery of packages received via the grounds crew or package person.

  • Ship outgoing packages through the computerized Ascent System or on-line carrier systems.

  • Rate shop for the best shipping prices and required delivery times, advise customers as to the best method for shipment of their packages.

  • Review and process carrier invoices for payment. Check for accuracy in billing charges and internal chargeback account numbers. Enter charges into the People Soft program and send bills to Accounts Payable for payment. Aid customers in billing questions and problems.

  • Process and file all shipping forms, packing slips, or other shipping information received.

  • Understand the usage of available manuals and pricing charts. Have a working knowledge of size, weight, and shipping restrictions (Hazmat).

  • Process credit card charges on a daily basis.

  • Be certified in Hazardous materials shipping and have an up to date knowledge of all Hazmat rules and regulations.

  • Provide assistance to the Mailroom/Duplicating/Central Supply as workload requires.

  • Follow all DoT regulations.

  • Learn new equipment operation as required by changes in the processes within the Business Services area.

  • Live out the Clarkson University values in all daily activities

  • Learn new shipping and receiving techniques as required to remain up-to-date with current and new technologies/legal requirements as applicable

  • Operate and work in a safe manner at all times and ensure the highest level of housekeeping

  • Provide mentoring and leadership to interns, apprentices and/or student workers

  • Willingness to take courses and/or training to meet job specific and University standards

  • Complete Clarkson Vehicle Safety Checklist before vehicle use. Be responsible for care, cleanliness, and maintenance of assigned vehicle and report all vehicle concerns to appropriate supervisor immediately

  • Operate a Clarkson vehicle in accordance with University policy (i.e. speed limits)

  • Perform other related duties incidental to the work described within the job description


  • Minimum Qualifications:

    • One (1) or more years of related experience

    • Associates degree or work experience equivalent

    • Four (4) years of Shipping/Receiving experience
