In this role you will:
The role of this position is to provide area clerical support and administrative assistance. This includes working with area personnel, both salaried and hourly, to ensure proper documentation and recordkeeping is complete and maintained for production and other area needs. The daily activities of this position are critical to ensure proper recordkeeping for inventory management and production.
Description:
Essential Duties and Responsibilities
The duties and responsibilities of the Specialties Area Clerk shall include, but are not limited to, the following:
- SAP GENERAL SUPPORT – Area Power User
- Global Roles: Production Operator, Materials Movement, Inventory Coordinator, Receiving Processor, Label Processor, Vendor Invoice Manager
- Provide process specific information regarding functional area of expertise as needed
- Identify process gaps and address with other Power Users
- Manage the impact of change on operators/staff in the process area of expertise, including mentoring and training
- Continue to align with other Power Users as issues arise
- Global Roles: Production Operator, Materials Movement, Inventory Coordinator, Receiving Processor, Label Processor, Vendor Invoice Manager
- SAP OPERATIONS SUPPORT
- Coach/train operators to ensure accurate production entries
- Audit SAP entries for discrepancies
- Coordinate with FLL’s/Area Manager/Quality/Area EPL in addressing chronic errors
- Enter and escalate(business critical) Remedy tickets to address system error issues
- Daily investigation and correction of COGI errors
- Training new Operators on SAP system.
- Develop, review and update training aids/work instructions for operators, FLL’s and area staff
- Work with HR and the Training department for training/onboarding/establishing security credentials of new employees
- Coach/train operators to ensure accurate production entries
- ACCOUNTING SUPPORT –
- Material usage variance audits
- Area absorption and capacity reporting
- Variance exception tracking
- Analyze activity rates and material costs
- Generation of monthly and yearly metric reports
- Propose BOM changes based on trends identified in actual production performance versus theoretical calculations
- Research anomalies in inventories, usage variances, and payroll
- Material usage variance audits
- CYCLE COUNT & RECONCILIATION
- Reconciliation of SAP issues for all processes
- Develop and maintain NEW Daily Yields Report, based on SAP data
- Balance daily consumption of raw materials with production of finished goods.
- Communicate/work with other areas that have impact on Area’s products (Track, Warehouse, etc.)
- Reconcile month end adjustments along with Area Manager/Engineers
- Perform cycle counts
- Communicate/work with main Inventory Coordinator in a timely manner
- Enter adjustments as needed (as per Area Manager)
- Reconciliation of SAP issues for all processes
- GROSS PLANT SPENDING
- Assist with budget versus actual expense variances & creating/maintaining report analyses
- Invoice (a/p) management
- Generate and review expense reports prior to month end
- Assist with purchase orders, receiving, etc.
- Assist with budget versus actual expense variances & creating/maintaining report analyses
- OTHER
- Audit support – Title V, USP, customer, and financial audit compliance
- Develop, review and maintain area Operating procedures
- Current P-Card holder – reconcile monthly invoices and submit for payment
- Back up for the other Administrative Assistant position
- Assist Area Safety Chairman and CLAWS representative
- Act as area point of contact for local IT and corporate service desk
- Primary administrative support to the Area Manager
- Area iPortal administrator
- Assist Area Manager with spending analyses, spending details, NBV, depreciation expense, budget preparation, etc.
- Audit support – Title V, USP, customer, and financial audit compliance
This position is located in Calvert City, KY.

The successful applicant:
- Must be highly proficient in the use of computers: email, Microsoft Word, Excel, PowerPoint
- Minimum Education requirements – High School Diploma or GED
- Must be highly organized and self-motivated
- Must have excellent written and verbal communication skills
- Must interact daily with various departments supporting production and operations
- Must have excellent interpersonal skills and have the ability to multi-task
Knowledge of SAP & Accounting practices is highly desirable
PHYSICAL/MENTAL REQUIREMENTS
There is frequent need to stand, stoop, walk, sit, reach, demonstrate manual dexterity, talk, hear and see. The incumbent may occasionally be required to lift light to moderately heavy objects (up to 25 pounds) and perform other similar actions during the course of the workday. It may also be required to operate a company vehicle on company business.
The incumbent will be required to utilize and wear appropriate personal protective equipment as required to perform his/her duties within the manufacturing area including hard hat, hearing protection, safety glasses, safety foot wear, respirator, FRC clothing and other PPE as determined to protect the individual. The Specialties Area Clerk must demonstrate commitment to zero incidents and injuries in the workplace and beyond.
The incumbent must possess the ability to remain calm during site emergencies and respond appropriately as directed by the Site Emergency Director and be capable of evacuating the manufacturing process areas in a timely manner should an emergency arise.
The incumbent must have the ability and willingness to work extended hours at a 24 hour, 365 day operation.
Incumbent must have demonstrated productivity and effectiveness in a teamwork environment and must have demonstrated competency and willingness to adapt to change.
