The Financial and Administrative Specialist performs routine accounting and administrative functions such as organizing and maintaining records and electronic files, files correspondence and other records and cooperates with the editions of documents/reports for presentations. The Financial and Administrative Specialist also prepares and analyzes accounting and financial information to determine and maintain records of accounts payable and other expense, tax compliance, and other financial activities within CAMRIS International, Inc.
- Build budget templates/spreadsheets
- Assist with preparation of cost proposals and budget narratives
- Assist with project management tasks, including resource management and budget development
- Support day-to-day activities of assigned projects
- Arrange all logistical support for staff and consultants traveling overseas
- Maintain communication with consultants and clients to ensure that consultants are supported throughout assignments
- Work with staff and consultants to ensure completion of financial forms and other paperwork
- File and Complete Consultant Folders
Create, analyze, and track accurate Consultant 1099’s.
Assist in developing systems for tracking and reporting of financial transactions
Monitor and track financial transactions of projects and project tasks
Review and process invoices from consultants and vendors
Enter transactions into Deltek accounting system
Monitor project and task budgets and expenditures against contractual requirements and governmental regulations
Coordinate with prime contractors on financial and administrative procedures
Track and gather data for invoicing clients and prime contractors
Ability to follow up with appropriate agencies (DFAS) regarding AR and correspond with partners, Government officials and Subcontractor’s points of contact regarding invoicing.
Track and Monitor a Cash Requirements report based on the specific weekly obligations CAMRIS is obligated to.
Track and monitor all outgoing advances sent and cross reference with closed out re-imbursements to both CAMRIS and consultant.
Verify accuracy of Time and Expense Reports to meet guidelines for a number of projects.
Create Invoices for multiple contract types including Firm Fixed Price, Cost plus fixed fee, and Time and Materials contracts in WAWF (Wide area Work Flow) DOD’s paperless contracting application to accept and process invoices and excel.
- Provide accurate accounting records; maintain accurate Accounts Payable reports; create and decipher JSR (Job Summary Reports) in Deltek GCS Premier and or Deltek CostPoint provide analysis to PM of specific project expenditures.
- Maintain the Aging report and follow up on outstanding invoices.
- Create budgets, do budget research, and be able to meet requirements for proposals on obtaining new work from the Government.
- Analyze, correct, and minimize errors in Deltek Financial System and help maintain ongoing troubleshooting in Time and Expense.
- Verify accuracy of Vendor invoices, create a weekly packet for all vendor invoices needing to be paid and present to company officers
Job Requirements
- Bachelors or higher degree in a relevant field
- Minimum of 3–4 years of related experience, preferably in Government contracting
- Proficiency in Microsoft Word and Excel
- Task management and administrative experience
- Ability to operate comfortably with clients and/or others connected to assigned projects
- Attention to detail and follow through; and good writing, editing, and proofreading skills.
- Working knowledge of Deltek GCS Premier
- Excellent interpersonal skills
- Knowledge of administrative and clerical procedures and systems, word processing, managing files and records, and other office procedures and terminology
- Knowledge of economic and accounting principles and practical markets, banking and the analysis and reporting of financial data
- Knowledge of the subset of rules and regulations pertaining to U.S. Government contracting.
- Knowledge of the structure and content of the English language, the meaning and spelling of words, rules of composition and grammar
