United States of America: Program Associate – ICT Programs


SUMMARY


This position holds the primary responsibility of assisting the ICT Regional Manager. The ICT Program Associate (PA) will support the ICT unit by providing administrative and programmatic support in accordance with the ICT portfolio grant(s). The PA will be responsible for all administrative aspects of the ICT portfolio including: reconciling credit cards, financial data entry, supporting and tracking subgrant agreements, consultants, contracts, and payments. The PA will also assist with programmatic tasks, particularly related to compiling reports and coordinating travel and events. The PA will serve as a liaison between ICT Program Management; field Staff and headquarters’ Accounting and Administration teams. This position may also support a wide range of other duties within the ICT unit.


ESSENTIAL DUTIES AND RESPONSIBILITIES:


  • Financial Data entry for all ICT projects, ensuring documentation is in compliance with funder requirements and Internews’ policies and procedures.

  • Prepare invoices, wire transfer requests, expense reimbursements, and payment requests, and complete credit card financial reconciliation on a monthly basis.

  • Track grant-related administration such as travel plans, personal service contracts, and outside service contracts.

  • Assists the ICT Management Unit with audit inquiries by providing supporting documentation.

  • Significant communication and interaction with program staff and field Staff, acting as Liaison between HQ and the field staff.

  • Assist in assembly of quarterly reports, proposals and other project-related reports for ICT programs: edit, revise and collate finished materials in collaboration with the ICT team.

  • Prepare correspondence and reports from meetings, conferences and discussion panels, assist on research.

  • Support special events and partner meetings, including coordinating agendas and travel logistics; represent team and Internews at events on request.

  • Provide administrative support to the ICT team as requested.

  • Understanding of and demonstrated commitment to upholding Internews’ Core Values.

QUALIFICATIONS


  • Relevant university degree.

  • Prior relevant experience, preferably working with an international NGO or within the development, ICT4D, media, or human rights sectors.

  • Intermediate expertise in Microsoft Office, particularly Excel.

  • Proven ability to prioritize and handle multiple on-going assignments while maintaining attention to detail.

  • Excellent communication and organizational skills.

  • Proven ability to set priorities and manage time effectively.

  • Proven analytical and problem-solving ability.

  • Proven ability to work both independently and as an effective team member.

  • Demonstrated understanding of and/or experience with developing world information environments, including technical, political and social factors.

REQUIRED


  • Fluency in English, both verbally and in writing.
