GENERAL SUMMARY/ OVERVIEW STATEMENT:


With direct supervision, provides administrative support in the preparation of grant, establishment of new funds, monitoring of budgetary performance, and submission of required reports for designated grants and contracts.


The Grants Coordinator will assist in the management of a portfolio of research projects led by investigators based at the Department of Emergency Medicine and affiliated with the Harvard Humanitarian Initiative (HHI). She / he will work closely with project Principle Investigators (PIs), the Grants Administrator, the Senior Grants Manager, the Director of Research Management and any other relevant departmental staff, HHI staff or other hospital departments.


PRINCIPAL DUTIES AND RESPONSIBILITIES:


  1. Prepares and assists with grant application submissions.

  2. Types/edits research grant proposal according to funding agency guidelines

  3. Maintains databases according to physician/scientist requirements

  4. Performs literature searches as required.

  5. Monitors use of lab funds and reconciles laboratory purchases with financial reports.

  6. Prepares service contracts and standing purchase orders as needed.

  7. Coordinate, prepare and submit protocols and approvals to the PHS IRB Office, IACUC, and other regulatory agencies and other institutions also reviewing the protocols

  8. Ensures compliance with all human subject regulations and oversight committees in the US and at foreign sites.

  9. In coordination with Research Finance, assists with contract billing and receivables.

  10. May perform other duties as assigned such as:

    Coordinate the appointment process for professional staff.

    Assists faculty members in preparing appointment applications, letters of recommendation, and credentialing files in proper format.

  11. May also perform other general administrative duties as assigned.

DUTIES SPECIFIC TO THE POSITION:


  1. Contribute to the pre-award process, particularly by assisting in the preparation of grant applications, budgets and documentation for internal application review.

  2. In the post-award phase, coordinate submission of all employee and non-employee reimbursement requests. Contribute to monitoring expenditures and review of expenditures with Grants Administrator and Senior Grants Manager.

  3. Request purchase orders, submit consultant invoices for payment and track funding sources.

  4. Coordinate procurement for any needed supplies/equipment.

  5. Assist in maintaining continuously updated records of all grants, contracts, subcontracts, and sponsored research agreements.

  6. Document the reporting schedules of all new projects and help ensure that reporting and deliverables are submitted on time.

  7. Assist in ensuring that project implementation is in compliance with Federal, NIH, sponsoring agencies’ and any local or institutional policies.

  8. Contribute to personnel planning and recruitment.

  9. Provide remote support to researchers and project PIs during field research and help ensure the timely processing of payments for field research costs.

  10. Assist scheduling and planning of meetings and events.

Requirements


QUALIFICATIONS:


B.S. or B.A.

At least one year of work experience in a research setting. Sound independent judgment and competence in research methodologies.


SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:


Strong working knowledge of spreadsheet, databases, accounting and word processing computer applications.

Excellent verbal and written communication/interpersonal skills.

Must be accurate, organized and able to work with large amount of financial data.

Able to follow directions with minimal supervision.
