We are currently seeking an experienced Community Assistant for a luxury property located in Charlotte, NC


Primary Responsibilities: Assist in managing and administering the day to day operations of the Community Association business. Maintain communications with Board of Directors, Association Manager, Association Staff and homeowners.


Other Duties and Responsibilities:


When necessary act in the place of the Community Manager in his/her absence
Assure that the policies, resolutions and other acts of the Board are carried out
Be knowledgeable of all Association Governing Documents, Rules and Regulations and general legal requirements of a community association
Provide excellent customer service and maintain open lines of communication with fellow Associates, homeowners and Board
Have general knowledge and understanding of building systems and components
Be available to be on-call to handle after-hours emergencies, when necessary
Follow all policies and procedures of the Association
Such other duties and responsibilities as may reasonably be directed and required
Provide input and assist Community Manager and Board with the preparation of the Association’s annual budget; assist with the daily implementation of the annual budget.
Perform basic recordkeeping/bookkeeping; be familiar with the chart of accounts and with the procedures involved in accurately coding expense requests and revenue postings.
Be familiar with the basic principles of financial management and bookkeeping, including the ability to interpret financial statements and review accounting schedules for the accuracy of posting entries.
Approve invoices necessary for timely transactions.
Ensure checks are signed in a timely manner by the Associations Treasurer.
Assist with preparation of specifications needed for all services received by the Association (e.g., landscaping, snow, trash, insurance, pool, etc.)
Monitor the Association’s Maintenance
Schedule with the Association’s Maintenance Supervisor to assure planned maintenance occurs, review annually the Maintenance Schedule with the Maintenance Supervisor to assure completeness of the planned proceduresAssist with bid process, review bid spec proposals and comparison spreadsheets and make board recommendations as appropriate.
Conduct regular inspections of siteLog work requests in Connect and generate work orders for maintenance staff and/or contractors, update work order notes, and close open work orders when complete
Attend all Board meetings,where necessary
Assist with preparation of Board meeting agenda, monthly management report and all other reports and material needed for Board Packet; distribute one week in advance of meeting
Maintain Association filing – homeowner filing, correspondence, work orders, accounting documentation etc.
Recordkeeping – binders to be kept with the following: Monthly Agendas, Modification Requests, Work Orders, Financials (including Social/Trip accounting).
Other duties as necessary and directed by your supervisor or executive

Requirements
2+ years experience in a customer service work environment; Experience in property management strongly preferred
Accounting / Bookkeeping experience a plusAbility to excel in a high pressure environment Strong organizational, written, and verbal communication skillsExcellent word processing, mathematic, and computer skills required, specifically with proficiency in the use of spreadsheet software
