Unit Job Summary
Under the direction of the Supervisor of Receiving and Rapid Cataloging (RRC), the Principal Receiving Assistant (PRA) performs a wide range of library tasks, primarily assisting with maintaining the effective flow and execution of all monographs and serials received in Acquisitions in all languages except Chinese, Japanese and Korean and in all formats. The PRA is also responsible for assisting staff in clearing vendor invoices for payment; updating and overlaying bibliographic records; and searching and inputting records for monographic materials obtained through exchange and cooperative Acquisitions programs, as well as government documents and materials received as gifts.
The PRA is responsible for immediately referring problems encountered when receiving library materials, including identification of duplicate and damaged items, to the Monographic Orders/Approvals unit for resolution. The PRA also works with the Principal Orders Assistant to identify patron-requested materials for immediate processing upon receipt.
Essential Responsibilities
Assists the Supervisor of Receiving and Rapid Cataloging in organizing and delegating the daily workflow for staff (6-8 FTE), who perform the following functions:
o Identify correct order record for monographic piece- in-hand by searching library databases (OLE, OCLC/WorldCat, etc.) and match bibliographic information.
o Receive serials and periodicals.
o Search OCLC for appropriate bibliographic records, exporting from OCLC, and importing into OLE.
o Interpret bibliographic records and assess the copy level to determine if the material can be finished in Acquisitions based on Rapid Cataloging Criteria.
o Update the OLE bibliographic record, the holdings status, and the item record.
o Route pieces to Shelf Preparation or the Cataloging as appropriate.
o Check for and follow special processing instructions.
o Clear invoices and forward to Payments for processing.
o Sort and unpack mail and shipments .
o Refer serials and monographs to bibliographers.
o Participate in record maintenance, including updating holdings and items.
o Process withdrawal of bound and unbound periodicals from the library collection.
o Create preliminary bibliographic records for serials and periodicals which are new to the collection.
Assists in communicating with Monographic Orders to resolve complex problems pertaining to returns.
Provides advanced-level support for the Head of Acquisitions and Rapid Cataloging for special projects.
Assists in providing daily quality control for materials sent to Cataloging and Shelf Preparation and helps maintain bibliographer referral room.
Participates in maintenance of the Acquisitions Web pages and provides general computer-related support.
Assists with training and management of students employees, including hiring, training, timekeeping, and performance management.
Education
High School Diploma or equivalent required.
Bachelor’s Degree preferred.
Experience
Previous experience with library processing procedures required.
Previous work experience searching online systems and databases required.
Experience searching in bibliographic databases preferred.
Prior experience supervising student workers preferred.
Previous experience in an acquisitions department preferred.
Experience using word processing, spreadsheet, Web authoring, and database software preferred.

Reading knowledge of at least one (1) Western European (non-English) language, preferably Romance or Germanic, required.
General knowledge of descriptive cataloging rules, particularly those pertaining to form and choice of main entry, required.
Excellent interpersonal skills and demonstrated ability to work as a part of team, required.
Ability to communicate clearly and concisely verbally and in writing required.
Excellent organizational skills and strong attention to detail required.
Ability to handle multiple priorities and manage time efficiently, with frequent interruptions, required.
Ability to manage complex tasks and projects independently required.
Flexibility and adaptability in managing tasks to meet changes in procedures, processes, and technology required.
Demonstrated sound judgment and effective, independent problem-solving and decision-making skills required.
Bibliographic knowledge of Russian (or other Cyrillic), Hebrew, or Arabic preferred.
