Context of the Job:
The Office of the University Registrar, as part of the Enrollment Management Team, manages information systems, maintains students’ academic records and provides educational support services for the University community. The Registrar’s Office includes: Scheduling, Registration & Academic Records, Advising Support, Student Systems Administration and the University Testing Center.
Under the general direction of the Associate Registrar, the Academic Records Assistant I provides direct support, represents the University and interacts with the public through both in-person and telephone consultations and contact. Answers questions and interprets inquiries to resolve problems for students, parents, alums and other administrative offices. The Academic Records Assistant I is often the first point of contact for constituents inquiring or visiting the Registrar’s Office.
Major Responsibilities:
Assist students in person, by phone and by email with any registration issues, assists with Drop/Add questions, resolves registration problems
Provide critical and directional services for the general public, parents and staff regarding department and UD directory information
Provide general information on transcript ordering, transfer credit, residency questions and veterans benefits
Receive veterans’ enrollment verification forms; compile data and enter on specific websites
Set PIN#’s for current and former students
Verify degrees and attendance each day through the National Student Clearinghouse – by phone and email while upholding FERPA Law
Produce official degree letters and verification of enrollment letters
Process 500+ course permit forms each semester after free drop/add for the purpose of changing student schedules to maintain current student schedules
Maintain the training and hiring of student workers to help with the day-to-day operation of the Service Desk
Take minutes at full staff meetings and post on UDARE
Provide excellent customer service
Perform other job-related duties as assigned; work cooperatively in a team-centered environment
Qualifications:
Ability to communicate effectively and interact well with people of all ages and diverse backgrounds
High school diploma or GED and one to two years of experience in an administrative clerical position
Broad knowledge of University systems, policies and procedures as well as applicable federal and state regulations preferred
Ability to organize, review, analyze and interpret data
Ability to make independent decisions in keeping with level of the position
Excellent computer skills; experience with Outlook, Word, Excel and Access preferred
Experience with Oracle – People Soft/Student Information Systems (UDSIS) preferred
Demonstrated ability to work independently, to manage and adhere to tight deadlines and handle multiple tasks simultaneously; effective problem-solving skills, attention to detail required
