General Responsibilities:
The Rosebud Program Coordinator’s primary responsibilities will be to organize activities, in partnership with collaborators, to carry out PIH/COPE activities in a timely, efficient and collaborative manner. This includes building relationships and communicating PIH/COPE activities to various stakeholders through face-to-face meetings, emails, written reports, presentations, and other methods of communication; getting input from stakeholders and incorporating these changes into program activities; and coordinating daily activities such as training activities, meetings, and other events. The Coordinator will be responsible for providing reports, coordinating program evaluation activities (interviews, surveys, etc), and coordinating with external collaborators such as Indian Health Service providers, Rosebud Sioux Tribal employees, trainers, external advisors etc. This position reports to the Rosebud Program Manager.
Specific Responsibilities:
- Collaborate with partner institutions (e.g. IHS facilities, Rosebud Sioux Tribe) to carry out PIH/COPE activities in a timely and cooperative manner, including event planning, projecting and adhering to an implementation timeline, soliciting and responding to feedback by participants and supporting basic donor reporting/financial tracking.
- Support the Project Director, Project Manager and Tribal Health Director to complete a community needs assessment and analyze results (e.g. including the development of needs assessment materials, coordination of data collection activities with other tribal programs, scheduling key informant interviews and managing technology used to collect/store data).
- Support the development of the project work plan with the Program Manager and Tribal Health Director and help partners/collaborators to implement activities on time, within scope and budget.
- Coordination with staff and stakeholders, including planning and communicating with other PIH/COPE staff and carrying out tasks as delegated, communicating via email, phone, and in-person with outside partners such as IHS educators, Program Directors and others.
- Event planning (e.g. training and stakeholder meetings), including establishing and confirming mutually-convenient timing and locale, circulating relevant training materials and objectives to trainers and participants with sufficient time in advance for preparation and feedback, preparing for meetings with required materials, print-outs, and food/refreshment for events, attending meetings as needed for documentation and active participation, and any follow-up communications.
- Logistical support such as assistance with procurement (e.g. office supplies, educational materials, equipment, food and refreshments, etc.), scheduling of staff and visitor home visits with CHRs, organization of site visits by PIH/COPE staff, volunteers, physicians and partner organizations (e.g. travel, reimbursement, lodging).
- Draft monthly progress reports updating the Rosebud Program Manager on the implementation of grant-funded activities.
- Assist with finances including invoicing and monitoring of monthly expense reports.
Qualifications
- Associate’s degree or 5+ years of relevant professional work experience.
- Background in public health or community outreach
- Excellent interpersonal and written communication skills
- Demonstrated competence in efficient organization, management of multiple responsibilities in a time-sensitive environment, and close attention to detail.
- Interest in and commitment to American Indian/Alaska Native health.
- Must have own reliable transportation and be willing to use it for work travel, including making long work drives
- Computer skills in Microsoft Office.
- Understanding of and interest in Lakota language and/or culture
- Willing to live in or near Rosebud, SD (project location) and be co-managed remotely by Boston-based staff and the Tribal Health Director in SD
