We are looking for an experienced events coordinator to join our New York events team supporting our Engagement Series events across North America from start to finish for each event.
Key responsibilities:
Pre-Event/Dinner Preparation:
Overall US responsibility for sourcing and booking relevant locations for each engagement series event.
Managing multiple venues/locations at once (hotels and restaurants), including all budgets and venue liaison, AV sourcing and communication with the UK and client POC
US POC to manage and communicate with the UK ES Team for delegate demographics required
Resource mapping the delivery of each event
POC pre-event for every delegate attendee
Ownership of all onsite product materials, to include brochures, name badges etc.
Responsible for post event follow up and communication
Onsite Responsibilities:
The position would require regular travel (Weekly in busy periods) to attend every US ES event as the main POC and Event Manager
Registration of all attendees onsite
Onsite venue liaison to ensure timing, food etc runs smoothly
Overall onsite responsibility for the schedule and feedback
Post-event POC for delegate feedback
Skills and experience required:
Well organized with preferred experience in conference or personal/independent events scheduling
Flexible schedule, willing to travel within the US on a potential weekly basis
Experience in dealing with hotels/restaurants for bespoke private occasions
Budgeting and negotiating skills
Good communicator both internal and external – able to handle a range of clients with varying demands
