United States of America: Senior Program Coordinator, Platform for Education in Emergencies Response


Purpose of Position: Platform for Education in Emergencies Response (PEER) is a digital clearinghouse that hosts vetted and updated information on global education opportunities and resources for refugee and IDP students and the institutions seeking to support them. PEER will also provide the support services critical to ensuring that students and institutions are not only able to access information but are also equipped to capitalize on it fully and efficiently. PEER will initially focus on refugees and IDPs in the Middle East and North Africa (MENA) region seeking higher education. The five-year initiative will focus on three main activities: (1) compiling information on higher education opportunities for students in crisis and posting them through the PEER website (long-term vision to include K-12 opportunities as well); (2) providing support services to students seeking higher education opportunities; and (3) utilizing data from the PEER website to report on trends, gaps, and other needs of post secondary students in emergencies.


The Senior Program Coordinator is responsible for helping populate and maintain the PEER database, vetting any new opportunities submitted through PEER and confirming that the database is as up to date as possible. She/he will work closely with the Senior Program Officer and Refugee Education Advising Coordinator to develop PEER’s Virtual Advising function, including coordinating any direct advising with prospective students, as necessary, and manage support services for institutional PEER partners. This role reports to the PEER Senior Program Officer.


Position is contingent on execution of contract.


Essential Duties and Responsibilities include the following:


Database Management


  • Assist in maintaining the PEER databases which house statistical and narrative data.

  • Generate reports from databases on Syrian student activities for internal and external use, liaising with Refugee Education Advising Coordinator to get more detailed information, as needed.

  • Review database and partner data, and develop fact sheets for International Education Week, regional sessions at the Forum and other events.

  • In collaboration with Senior Program Officer, monitor the database and ensure data remains up to date and accurate. Approve updates submitted. Work with advisers and the Refugee Education Advising Coordinator to update fact sheets. Manage advisers’ access to resources.

Communications and Research


  • Develop processes and maintain administrative systems for control of internal and external program documents related to all aspects of program correspondence and outreach.

  • Responsible for the dissemination of program materials to advising centers, HEIs, and other stakeholders.

  • Coordinate and contribute to internal and external communications, including content for the PEER website.

  • Provide research and programmatic support for the PEER and advising needs.

  • Conduct research and facilitate webinars intended for HEI representatives and advisers.

Administrative & Event Support


  • Support Senior Program Officer to administer student scholarships. This includes generating payment requests, collecting applications, preparing selection materials, drafting stakeholder communications and maintaining program inboxes.

  • Supports the Senior Program Officer in managing the project budget, including processing travel and travel expense reports.

  • Provide administrative support to program team members as needed, including preparation and planning for travel, meetings, mailings and preparing expense reports.

  • Assist in planning of program events, including supporting event logistics.

  • Responsible for complying with applicable contract and sponsor requirements and following all IIE policies and procedures.

  • Performs other related duties and functions as assigned.

Job Requirements


Education/Experience:


  • Bachelor’s degree required in a related field.

  • Two or more years of administrative experience in international education/exchange, program administration, human rights, immigration/refugee services or related field required.

  • Systems and/or database management experience preferred.

Knowledge, Skills, and Abilities:


  • Excellent administrative and organizational skills including attention to detail, flexibility, initiative, good problem-solving abilities.

  • Knowledge of international and US educational organizations and systems (i.e. IAU, UNESCO, ACLS, AAUP), human rights/relief/refugee organizations, or other relevant entities preferred. Knowledge of other IIE programs and operations beneficial.

  • Computer skills, including website and/or database design skills preferred.

  • Excellent interpersonal and cross-cultural skills. Language skills, particularly fluency in Arabic preferred.

  • Solid writing and research skills, including analytical ability.

  • Solid judgment and demonstrated ability to handle sensitive, confidential information in a discrete, professional manner.

  • Ability to meet deadlines, to handle increasing levels of responsibility, and to work without supervision.
