Responsible for all phases of accounts payable including the completion of payments and controlling expenses by receiving, processing, verifying, and reconciling invoices.
Also serves as the first impression for the Company, answering all telephone calls, greeting all guests of the Company, and responding to specific inquiries and requests.
Accounts Payable:
- Entering invoices (expense and freight) ensuring accuracy and prompt payment to take advantage of discounts
- Calling vendors to resolve invoice problems
- Receiving and following up on accounts payable phone inquiries from vendors
- Researching vendor accounts to identify errors and incorrect postings
- Communicating regularly with other departments and branch personnel to ensure an understanding of the status of invoices
- Processing checks daily according to established procedures
- Monitoring multiple email and mail locations for invoice receipt and processing in a timely manner
- Open and date stamp mail received daily
- Monitoring check stock and ordering as necessary
- Assisting in monthly and year end closings
- Assisting with year-end CPA audit
- Other duties as assigned
Receptionist:
- Serve as the first impression many people receive of the Company
- Greet all visitors to the building in a friendly and a sincere manner
- Performs operator functions including calls; connecting and transferring calls; setting up conference calls
- Check general email and voicemail boxes and forward messages to appropriate staff person
- Ordering supplies for Corporate Office use
- Logging all checks received daily on deposit record
- Facilitate mail and package pickup for the Corporate Office
Requirements: Minimum requirements include a high school diploma or general education degree (GED) and previously related AP experience.
Excellent attention to detail, strong organizational and time management skills, ability to handle multiple tasks with little or no supervision, general math and office skills (typing, filing, answering phones, etc.) are highly desired.
