Summary
The general purpose of the job is to be the main party responsible for client communications and inquiries upon order confirmation. In addition to offering support to external clients, this position requires strong support of internal office functions responsible for managing accurate and timely information.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Talks with customers by phone or in person for service.
- Adjusts complaints concerning billing or service rendered, referring complaints of service failures to designated departments for investigation.
- The Client Service Specialist is an all encompassing position that is responsible for orders from the confirmation process all the way through to the dispatch of goods.
- Tracking the progress of orders, this position is responsible for disseminating all information to applicable clients.
- Handles all incoming inquiries related to order status.
- Weekly tasks include reviewing all pending orders to ensure that required documentation is received in a timely manner so that there is no delay in the delivery process of the orders.
- Beyond routine tasks performed the customer service representative should be able to support the sales manager and office manager with a wide range of tasks on an as needed basis.
- Prepares and distributes fact sheets.
- Process required reports.
- Support logistics, accounting and marketing departments.
- Reads incoming material, verifies accuracy, and sorts and codes according to file system.
- Stores material in paper form, or enters information into computerized storage system.
- Maintains computer database.
- Retrieves materials for qualified personnel upon request.
- Disposes of obsolete files in accordance with established retirement schedule or legal requirements.
- Scans materials or copies records, and examines materials for legibility.
- Types labels or reports.
- Implements changes to the filing system when directed to do so.
- Manage customer payment.
Qualifications

Education and Experience
Bachelor’s degree (BA) preferred (not required) and minimum one year related experience.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Fluency in English and Spanish is required. Knowledge of Portuguese is desirable.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram from. Ability to deal with problems involving several concrete variables in standardized situations.
Other Skills and Abilities
Intermediate knowledge of Office software is mandatory.
Non-Exempt Hourly Position
$17 per hour
