GENERAL RESPONSIBILITIES Provides a variety of coordinative, administrative, and secretarial services under the direction of a Department Director. Serves as the clerk of the Planning Commission.
ESSENTIAL TASKS include the following; other duties may be assigned.
– May perform supervisory responsibilities in accordance with the current Carroll County Personnel Ordinance,
County policies and applicable laws
– Manage Department Director’s calendar, coordinate schedules, and independently make appointments
– Screen and provide information in response to telephone calls, responding independently when possible
– Take and transcribe dictation
– Compose, prepare, and process general and confidential correspondence, including e-mail and faxes
– Establish, organize and maintain paper and computer records management/file systems
– Coordinate meetings, programs, or events by securing location and making other appropriate arrangements, preparing and issuing information and agendas, coordinating speakers, and processing minutes or other necessary follow through information
– Conduct research and prepare reports, surveys, and other complex documents
– Research and develop resources and methodologies that create timely and efficient workflow
– Arrange detailed travel plans and itineraries, compiling relevant documents
– Provide administrative and secretarial support for Department Director including budget and personnel matters and relevant Committees, Boards, Commissions, and projects
– Perform related duties as to specific assignments
– Any employee may be identified as Essential Personnel during emergency situations
– Provide service to customers by answering questions, providing information, making referrals, and assuring appropriate follow-through and/or resolution on matters related to departmental policies, procedures, and practices
– Communicate with managers, supervisors, co-workers, citizens, media, and others, maintains confidentiality; and represents the Director and County
EDUCATION AND EXPERIENCE
– High school diploma or general education degree (GED
– Six years administrative/budget/secretarial experience; three years office management/supervisory experience *
* A comparable amount of training and experience may be substituted for the minimum qualifications.
