Summary of Position


The Events Coordinator will work in a team environment to create and implement special event fundraising and cultivation strategies to help meet fundraising goals.


The ideal candidate will be responsible for the planning, execution, budget management, logistics and production of a myriad of events that include house parties, fundraising luncheons, cocktail parties, educational forums, dinner galas, international investor trips, and educational speaker opportunities.


The Events Coordinator will report to the Strategic Development Director. The Strategic Development team is responsible for fundraising from individuals, foundations, and corporations to support the core and unrestricted funding needs of a global organization. It is an exciting time of growth, opportunity, and new challenges for the department as we dramatically expand the core revenue of the organization to ensure world class systems that can support the rapid program growth the organization has seen over the last 5 years.


Responsibilities



  • Under the direction of the Strategic Development Director, manage day-to-day duties for the organization’s fundraising, cultivation, stewardship, and awareness building and recognition events




  • Grow and build on existing events, and identify new event opportunities




  • Supervise, plan, budget, execute and evaluate each event




  • Identify, solicit and manage event sponsors and supporters




  • Obtain, evaluate, make recommendations, and process vendor proposals consistent with Finance procurement policies




  • Manage event committees to ensure a quality volunteer experience




  • Manage solicitation lists, donor outreach and follow-up for each event




  • Manage event website and invitations, mail and/or email, keeping information up-to-date and encouraging event attendance with an appropriate schedule of invitations




  • Work with graphic designer on the design and production of event materials, including save-the-dates, invitations, programs, and various event collateral




  • Coordinate with Communications Teams to write, submit and follow-up to ensure placement on press releases, social media, and other outlets as appropriate




  • Coordinate with Strategic Development Associate to provide senior leadership with research briefs on key prospects who plan to attend events




  • Lead on-site management of event logistics




  • With support of the Strategic Development Associate, help recruit, train, manage, and motivate event volunteers to serve as ambassadors for community awareness and philanthropic support throughout the year, not just at events




  • Maintain event donor history, attendance, and other event-related information in database




  • Determine all required security arrangements, insurance coverage or special permits for events




  • Perform other duties and special projects as assigned

Minimum Qualifications


Essential:



  • Bachelor’s Degree in related field




  • Minimum 2 years in nonprofit fundraising, with demonstrated event planning experience




  • Excellent time management skills, attention to detail, organizational skills




  • Comfortable working in a fast-paced environment and proven ability to multi-task




  • Ability to identify and solve problems on an immediate basis




  • Ability to work flexible hours that include evenings and weekends




  • Proven success in maintaining volunteer relationships




  • Excellent communication and interpersonal skills




  • Ability to relate well and work effectively with diverse constituencies and audiences




  • Team player committed to developing and working within a collaborative environment to ensure the highest donor and volunteer-service experience




  • Highly motivated and energetic, with an alert and positive customer service attitude




  • Computer literacy proficiency, including solid working knowledge of Microsoft Office applications (Word, Excel, PowerPoint) and Google applications (Gmail, Drive, Docs, Sheets, and Hangouts) and Internet research skills



Desirable:



  • Interest and knowledge of conflict resolution, passion for the mission




  • Experience working in a conflict resolution setting
