Position Description
The Global Systems Manager, based in the HQ Oakland, CA office, works under the direction of the Deputy Director to ensure that each employee across the organization possesses the operational, systems, and IT support they need to be successful. Focused on streamlining processes and achieving greater organizational efficiency, the Global Systems Manager oversees the design of org-wide IT strategy, including information storage, and supports database and accounting systems management.
Based in the US, Oakland, CA office, the Global Systems Manager also provides more local support through maintaining the relationship with building management, outside vendors, and other related items.
Key Responsibilities
Systems research, development and implementation (45%)
Identifies internal client requirements by establishing personal rapport with Asylum Access departments and country operations.
Serve as primary systems strategist leading research for, construction or renovation of, and maintenance of various systems used by programmatic and operational staff across 15 offices in 6 countries. These systems include:
Salesforce, the primary tracker of donor relationships and donations
Refugee Information Processing System and HURIDOCS databases, the primary client management tools used across offices and countries
A human resources information system (HRIS) – exact software yet to be identified – the mechanism for tracking human resources across offices and countries
Quickbooks online as our integrated accounting software
Trainings storage and update mechanism – exact software yet to be identified – the mechanism for maintaining records and easing facilitation of VLA and staff trainings
Information storage tools including Dropbox, Google Drive and other secure online document storage solutions for case files and sensitive organization materials
Other business development systems as identified
Support training initiatives for initial rollout of systems
Information Technology Research, Development and Implementation (30%)
Research, develop and implement org-wide information technology strategy, in alignment with Asylum Access’s programmatic and operational needs and in consultation with external IT consultant
Coordinate website updates in consultation with external IT consultant and Creative Lead (?)
Manage the procurement of IT hardware and software for all offices; proactively seek new opportunities for high quality computer donations
Coordinate IT repairs, maintenance
Information Technology Security (15%)
Work with outside consultants to write and promulgate organization-wide IT security policies
Design and oversee promulgation of policies related to remote IT network access including but not limited to case files and other organizational materials
Write and promulgate computer usage policies for entire organization including but not limited to hardware usage, cloud storage access, and virus protection procedures
Disseminate IT security updates and current trends to protect Asylum Access from phishing and other high risk requests
Oversee the security of Google email accounts including upkeep and refreshing of departing volunteers and staff; ensure protection and preservation of Google doc files
Responsible for ensuring that vital data is backed up on secure servers or other devices
Operations Coordination (10%)
Manage monthly bank transfers to country offices
Track AAHQ operations budget including supplies and technology purchases
Manage vendor relationships including printer/copier, internet/phone, etc. and delegate administration to the office Executive Assistant
Manage the building management relationship including contacting building maintenance for repair or other requests
Additional Responsibilities
- Any additional responsibilities as assigned by the Deputy Director

Minimum Qualifications
Bachelor’s degree
The ability to think logically;
A good understanding of how databases, software and operating systems work;
Excellent listening and questioning skills, combined with the ability to interact confidently with internal clients to establish what the problem is and explain the solution;
The ability to work well in a team;
Problem solving skills;
A strong customer focus;
The ability to prioritize your workload;
Attention to detail;
Willingness to travel internationally;
Experience managing a budget;
Ability to work legally within the United States (No visa sponsorship available);
Preferred Qualifications
Masters in Information Technology, Public Administration or other related field
Previous experience or education in IT system management
Experience or familiarity with Quickbooks, Google Apps, Salesforce, and/or HRIS systems
