Records & Data Management Technician-Cheyenne job - State of Wyoming - Cheyenne, WY





GENERAL DESCRIPTION:


Prepare and batch documents according to established guidelines; set scanner stations, assign batch numbers and feed documents into scanning hardware; evaluate interface between division mainframe and imaging system to determine accuracy of data and modify data.


ESSENTIAL FUNCTIONS

  • Enters large amounts of data into a records management system in a variety of formats (i.e. manually, electronically, etc.).

  • Using a records information management system, prepares information for customers in a variety of formats.

  • Monitors monies received in office and processes invoices and/or fiscal reports, if required, for services that agency may provide to the public.

  • Drafts correspondence, and may provide customer service.

  • Runs reports from the system.

  • Inspects records for accuracy and completeness.

  • Prepares records for entry into system, may involve removing staples, paper clips, repairing tears, cleaning documents, etc.

  • Performs routine equipment maintenance and troubleshoots minor equipment problems.

  • Scans documents and archives into agency database.

  • Produces and processes microfilm in office or occasionally in a laboratory setting.

  • Ensure data is collected and compiled and verified to produce quality end-product to be viewed for future use.

  • Gathers, manages, examines, establishes, analyzes, records and maintains information in some type of records or data management system.

  • Verifies legitimacy of requests for information, ensuring that nothing confidential may be used for fraudulent purposes.

Qualifications:


PREFERENCES:


Typing of 30 wpm is preferred.


KNOWLEDGE:


  • Knowledge of basic accounting to balance daily incoming revenues.

  • Knowledge of basic data entry.

  • Knowledge of basic computer usage with regard to processing, spreadsheets, and database applications and hardware.

  • Knowledge of proper procedures for producing long-term preservation microfilm.

  • Knowledge of agency policies and procedures.

  • Knowledge of principles of data processing using a variety of reporting and database systems in information technology conceptual terms.


MINIMUM QUALIFICATIONS:

Education:


High School Diploma


PLUS


Experience:


0-2 years of progressive work experience in (typically in Records and Data Management)


OR


Education & Experience Substitution:


0-3 years of progressive work experience in (typically in Records and Data Management)

PHYSICAL WORKING CONDITIONS:


  • May be required to lift at least 65 pounds.
