ADMINISTRATIVE SECRETARY ($49,463 – $60,111/year)
Performs a variety of highly responsible, confidential and complex administrative and secretarial duties, with responsibility for coordinating overall departmental office functions in support of a department head, City Manager’s Office or City Attorney’s office. May exercise lead supervision over clerical staff and perform routine payroll, personnel, purchasing and budget duties. Establishing an eligibility list for a vacancy in the City Manager’s Office, a vacancy in the Ventura Water Department, and future city-wide vacancies. .
This position is designated as “at will,” serving at the pleasure of the assigned Department Head, and subject to discharge without cause and without the right of appeal. This position is also designated as “confidential” in the City’s Employer-Employee Relations Resolution.
SECRETARY ($41,484 – $50,424/year)
Performs a variety of complex, responsible and confidential secretarial, clerical and administrative duties in support of a division manager. Incumbent coordinates related administrative procedures and activities and may lead/direct the work of subordinate clerical positions; composes and types written material; responds to requests for information, maintains records, complex filing systems and computerized database. Depending on assignment, may record and prepare action minutes for committees and/or commissions. Establishing eligibility list for future city-wide vacancies .
SENIOR OFFICE ASSISTANT ($37,733- $45,866/year)
Performs a variety of complex and responsible advanced journey level clerical duties in support of a departmental unit or program. Assists department staff with work order requests; prepares reports, maintains records and files; schedules activities and responds to requests for information and service. May serve as office manager to ensure that work is handled on a priority basis and completed in a timely manner. Establishing eligibility list for current vacancy in the Community Development Department and future city-wide vacancies .
POLICE RECORDS SPECIALIST I/II ($31,531 – $42,137/year)
Performs a wide variety of data entry/retrieval and clerical duties in the operation of the City’s computerized police records system. Types, codes, records, processes, and files documents; assists with performing records checks, issuing permits, and collecting fees; and answers, routes and refers phone calls. II level is the journey-level class, distinguished from the I level by the assignment of the full range of duties. Work schedule may include rotating shifts, evenings, weekends, and holidays. LICENSE/CERTIFICATES
License: Depending on assignment, possession of a valid California Class C driver’s license may be required.
WORKING CONDITIONS
Environment : Works in indoor office conditions; attends evening meetings. Physical Abilities : Hearing a speaking sufficient to exchange information in person and on the telephone; close vision and the ability to adjust focus to read and operate office equipment including personal computer; hear in the normal audio range, with or without correction; sitting or standing for extended periods of time; uses hands to handle, feel or operate standard office equipment including personal computer; and mental capability to perform work on multiple concurrent tasks. Hazards : Exposed to computer screens.
MINIMUM QUALIFICATIONS
Office support positions require a combination of education, training and experience equivalent to completion of the twelfth grade and keyboarding abilities sufficient to perform the job PLUS experience outlined below:
Administrative Secretary : Four years of increasingly responsible advanced clerical/secretarial experience, which includes at least one year of experience providing secretarial support, and keyboarding abilities sufficient to perform duties of the job.
Secretary : Three years of increasingly responsible advanced clerical experience and keyboarding abilities sufficient to perform duties of the job.
Senior Office Assistant : Three years of increasingly responsible clerical experience and keyboarding abilities sufficient to perform duties of the job.
Police Records Specialist I/II : I: Six months of office or general clerical experience. II: Eighteen months of office or general clerical experience. I and II: keyboarding abilities sufficient to perform duties of the job.
Note: Please indicate your qualifying experience and typing abilities on the supplemental questionnaire. A typing certificate is not required at time of application, but finalists may be required to complete an office skills assessment which includes a typing exam, prior to being hired.

ADMINISTRATIVE SECRETARY
Deferred Compensation: $1,000 per year will be matched in a 457 Plan PLUS $168 per year.
Medical & Dental Insurance: $218 monthly towards a selection of plans.
Optional Benefits: $483 monthly, applied toward medical insurance premiums, or taken as cash, payable bi-weekly.
Vacation: 2.5 weeks per year, increasing to 4 weeks after 15 years service. Employees may use vacation after successful completion of probation.
Sick Leave: 96 hour bank upon employment and additional accruals of 2.0 hours semi-monthly after 6 months of employment.
Probationary Period: This is an at-will position serving at the pleasure of the appointing authority.
SECRETARY/SENIOR OFFICE ASSISTANT/POLICE RECORDS SPECIALIST I-II
Deferred Compensation: $442 per year will be matched in a 457 Plan.
Medical & Dental Insurance: $232 monthly towards a selection of plans.
Optional Benefits: $469 monthly, applied toward medical insurance premiums, or taken as cash, payable bi-weekly.
Annual Leave: 14.5 days per year, increasing to 24.5 days after 15 years service, for vacation or sick leave. Employees may use vacation after successful completion of probation.
Probationary Period: Twelve months.
ALL OFFICE SUPPORT POSITIONS
Vision Insurance: Provided for employees and dependents.
Life Insurance: Term life insurance equal to the employee’s annual salary, and dependent life insurance of $2,000 per dependent, is provided.
Disability Insurance: Short and Long-Term disability coverage is provided.
Retirement: Tier I – 2% @ 55/Single Highest Year of Compensation for Classic CalPERS members who worked for the City prior to December 31, 2012 and are returning to City employment. Employees make a 7% member contribution. Tier II – 2% @ 60/3-Year Final Compensation Period for Classic CalPERS members with less than a six-month break in service from another CalPERS or CalPERS’-reciprocal agency. Employees make a 7% member contribution. Tier III – 2% at 62/3-Year Final Compensation Period for New CalPERS members. Employees make a 6.25% member contribution. Additional details regarding the Citys retirement plan will be provided to candidates during the job offer process.
Social Security: CalPERS members do not participate in Social Security retirement. Receiving a CalPERS benefit may affect your social security upon retirement. For further information contact a Social Security office or www.socialsecurity.gov/form1945 .
Medicare: Employees participate only in the Medicare portion of Social Security. There is a 1.45% payroll deduction for this benefit.
Holidays: 12 paid holidays per year.
Personal leave: 27 hours per year.
Part-Time Benefits: Regular part-time employees receive insurance, optional benefits, vacation, holidays, sick leave and disability programs proportionate to their regular work hours.
Tuition Reimbursement: $2,500 per year for tuition and books.
Direct Deposit: Paychecks are automatically deposited to employee accounts.
Flexible Workweek: A 9/80 workweek is available for some positions.
