The Desk Concierge ensures coordination of operations. Greets and direct visitors and staff implementing sign in/out protocol. Assists in interpreting facility policies and procedures as well as services. Knows how to provide concise and accurate directions. Provides clerical support for all departments.
Responsibilities:
- Greet/direct visitors and staff; implement sign in/out protocol for visitors and residents.
- Operate telephone/paging system; determining nature of call and handling appropriately
- Handle inquiries for prospective residents
- Input leads into database, update database, inform Administration of contacts made via email, mailed packets, etc.
- Handle emergency calls (ambulance, fire department, etc.)
- Know and assist in fire-drill procedure
- Know procedure for submitting work orders for maintenance service and submit such orders when necessary
- Handle dining reservation requests along with payments for guest and employee meals
- Handle resident billing payments
- Handle resident trust fund deposits and withdrawals
- Paperwork for new admissions and discharges
- Know procedures for handling applications of prospective employees
- Provide clerical support, photocopying and filing duties for all departments
In addition to the responsibilities listed above, each shift is responsible for the tasks listed below:
Weekday Shifts
- Follow protocol for handling newly-admitted residents (19-steps)
- Follow protocol for handling residents who discharge from the facility or who expire (20-steps)
- Mail out documents for all departments as directed
- Open nursing department mail and sort into designated boxes
- Prepare/distribute daily resident census report
- Unlock designated doors and offices at 8 a.m., no later
- Prepare dietary department menus
- Maintain scheduling for conference room; have all reservations approved by Administrator
- Additional responsibilities to be defined as needed
Weeknight Shifts
- Follow protocol for handling newly-admitted residents (19-steps)
- Follow protocol for handling residents who discharge from the facility or who expire (20-steps)
- Lock designated doors and offices at 8 p.m., no earlier
- Handle night-service phone
- Make prospective resident and admission packets as well as employee packets and applications
- Additional responsibilities to be defined as needed
Weekend Shifts
- Unlock designated doors and offices at 8 a.m., no earlier
- Lock designated doors and offices at 8 p.m., no earlier
- Scan medical billing (using command software); print off reports
- Organize and clean reception area
- Restock supply closet, printer paper and reception area
- Assist Director of Concierge Services in assembling QA packets
- Maintain physician address label binder; print outgoing and return envelopes as needed
- Make prospective resident and admission packets as well as employee packets and applications
- Additional responsibilities to be defined as needed
Standards of Conduct
- Maintain a positive attitude and professional demeanor at all times
- Maintain a clean and organized work environment
- At all times, abide by HIPAA policies
- At all times, be respectful of your superiors, fellow co-workers at the Village Green Rehab, residents, family members, and visitors
- When answering the phone/screening calls/using the intercom paging system, adhere to the protocol outlined in the front desk training program
- At all times, use your time wisely and directly align your activities with your duties and responsibilities as a concierge
- When speaking to a prospective family or resident, thoroughly and correctly gather information as defined by Marketing Director
- At all times, refrain from gossip of any kind – amongst concierge staff and to other employees, residents, or resident’s family members/guests
Qualifications:
- High School Diploma or GED
- One year of experience
- Schedule flexibility – must be able to work any shift
- Outstanding customer service skills
- Ability to work well with other associates
