United States of America: Human Resources Coordinator

Position Summary:


Creative Associates is seeking an individual who has a keen sense of detail and a strong ability to multi-task to join our Human Resources Team. The HR Coordinator will perform a wide range of HR and administrative activities requiring initiative and considerable independent judgment. Maintains HRIS (UltiPro) database and other HR tracking systems and records. Researches and compiles data and statistical information. Generates reports by preparing and analyzing data; prepares/composes correspondence, forms, spreadsheets and reports. Participates in the onboarding process. Assists with benefit administration and employee relations.


Primary Responsibilities:


  • Perform firm-wide benefits administration assistance with employees obtaining information and an understanding of company benefits and other related incentive programs, processing new hire benefits and employee changes, and administering COBRA;

  • Assist with annual benefits open enrollment;

  • Provide assistance with generating ongoing and ad-hoc special reports pertaining to employee data such as FTE counts, benefit costs, staffing levels and deployments, turnover, absenteeism, recruitment, applicant tracking, compensation, promotions, and others utilizing UltiPro HRIS system;

  • Work in conjunction with Director of Human Resources in coordinating the preparation and scheduling of organizational training programs as it relates to administrative items (room set up, presentation, training collateral materials);

  • Ensure proper paperwork execution, including drafting procedural paperwork for new actions, updating and maintaining employee files, and coordinating with payroll with paperwork/benefit implementation and compliance;

  • Post HR Communications to SharePoint, Data Entry into HRIS including benefit and other personnel updates and other administrative tasks as deemed appropriate by Director of HR;

  • Respond to routine inquiries regarding various administrative human resource issues;

  • Full cycle reconciliation and invoicing of HR vendor payments;

  • DBA and Medex Reconciliation;

  • Monitor performance appraisal program and maintains evaluations, provide notices to employees and supervisors, update UltiPro accordingly upon completion of reviews, and notify employees of approved salary increases; and

  • Provide administrative support for other projects as assigned, including recognition program, wellness and social initiatives, monthly events and holiday-related functions.

Required Skills & Qualifications:


  • Bachelor’s degree in Human Resources, Business Administration or related field; or at least 2-3 years’ experience in human resources; or equivalent combination of experience and training that provides the required knowledge, skills and abilities;

  • Generalist background with broad knowledge of human resource practices;

  • Experience with UltiPro HRIS system;

  • Well-developed administrative skills and strong management skills;

  • Ability to handle multifaceted projects in conjunction with day-to-day activities;

  • Excellent communication skills;

  • Professional level of confidentiality in handling employee information;

  • Ability to work independently and organize time effectively;

  • Excellent personal leadership skills;

  • Good organizational skills; and

  • Ability to interact effectively with all levels of management.
