United States of America: Project Assistant - FEWS NET



Chemonics seeks a project assistant to provide front office administrative and logistical support to the FEWS NET Senior Management Team, and more generally to the Washington D.C. Technical Team to ensure that the office is well-managed and that all project deliverables are completed and distributed in a timely manner. The Famine Early Warning Systems Network (FEWS NET) is a leading provider of objective, evidence-based food security analysis. Created in 1985 in response to famines in East and West Africa, the project currently covers about 36 countries. Funded by USAID, FEWS NET implementing partners include NASA, NOAA, USGS, USDA, Kimetrica, and Chemonics International, which manages the Washington technical office and more than 20 field offices in Africa, Central Asia, Central America, and Haiti. We are looking for individuals with a passion for making a difference in the lives of people around the world.


Responsibilities include:


  • Manage correspondence and communication for senior management and oversee filing of key FEWS NET documents in both electronic and hard format.

  • Prepare pre-travel-related processes for senior management, including travel requests, visa applications, travel advances, and logistical arrangements.

  • Schedule and maintain senior management meeting calendar and organize relevant documentation in advance of meetings.

  • Support COP correspondence with field and HO staff and the PMUs.

  • Maintain key administrative “trackers” for the project, including but not limited to vacation schedules, staff development and home-office and field staff travel for security purposes.

  • Coordinate FEWS NET weekly and monthly internal meetings, including compiling the agenda, organizing meeting rooms, taking minutes as required and maintaining meeting reports.

  • Coordinate logistical and administrative needs for project (e.g. ordering supplies for project where/when needed).

  • Serve as the primary liaison with Chemonics International’s support divisions (IT and Office Services Department).

  • Undertake other tasks to ensure the efficient and effective implementation and management of the FEWS NET project.

Qualifications:


  • University degree in a field relevant to this position

  • Minimum 1 year of relevant work experience

  • Excellent communication skills with demonstrated ability to work with diverse individuals/groups

  • Solid knowledge of Windows systems and Office 2003-2013 suites, including Excel, and a strong interest in improving computer skills

  • Handles self in a professional manner at all times, comfortable working with senior technical and professional staff

  • Takes responsibility in a proactive manner for delivering on personal and organizational commitments

  • Detail-oriented and well-organized to meet many and multiple deadlines

  • Ability to respond to changing circumstances and priorities in a focused manner

  • Critical thinking capabilities

  • Proactively and assertively addresses issues as they arise

  • Demonstrated leadership, versatility, and integrity

  • Competency in written and spoken French

Preferred qualifications:


  • Advanced academic qualifications in a field relevant to the work of FEWS NET

  • Experience in a similar position with an international development firm

  • Experience living and working in a developing country
