Office Associate I is the entry level in the occupational group for Office Associates. Employees perform general office work following defined methods and procedures. Employees work in a variety of environments, and will work individually and with other employees. Employees are responsible for performing basic office support tasks following the Local DSS officeâ??s administrative policies, practices, and procedures. Standard tasks include: Answers multi-line phone system and routes calls to appropriate staff; uses intercom paging system; greets and assists clients with positive demeanor; maintains professionalism under all circumstances; routes clients to other staff when appropriate; maintains visitor log and issues visitor passes; maintains client confidentiality; proficiently utilizes computers, software and a variety of office equipment; sorts and files documentation accurately; opens, sorts, date stamps, and distributes mail; runs outgoing mail through postage meter and delivers to post office as needed; pouches inter-agency mail and places in drop box; copies and distributes documentation; composes and updates correspondence, reports, and manuals with accurate spelling and grammar; accurately keys data into various databases; scans client documentation into VaCMS database; creates and distributes case files to appropriate case worker; maintains records and purges records in accordance with documented retention schedules and practices; acts as file room liaison, ensuring that records are filed promptly and accurately and that file room is organized. Takes on other tasks and projects as assigned. As with all Orange County Department of Social Services positions, this position requires service at Orange County Emergency Shelters during all county emergency operations during which a county shelter is open.
Minimum Qualifications
Candidate must have professional demeanor and superior customer services skills; must be able to multi-task in a fast-paced environment; must have prior office experience and understanding of office etiquette; must be able to work effectively with all clients and staff; must maintain composure and professionalism under all circumstances; must demonstrate excellent spelling, grammar and punctuation; must be able to communicate effectively both orally and in writing; must have good listening skills and be able to follow verbal and written instruction; must be proficient with computers and office equipment and able to learn new software quickly; must have good grasp of basic arithmetic; must be able to file documentation accurately both alphabetically and numerically; must have accurate keyboarding and data entry skills. High school diploma supplemented with basic clerical experience OR any equivalent combination of training and experience which provides the required knowledge, skills and abilities.
Preferred Qualifications
Preferred: The ability to speak fluently in English and Spanish.

Applicants may be subject to a Criminal History Background search, Central Registry search, DMV/driving record check, and/or pre-employment drug screen. The investigation may include: fingerprint checks (State Police, FBI), local agency checks, employment verification and references, verification of education (relevant to employment), credit checks (relevant to employment) and other checks requested by the hiring authority. This position is covered under Code of Virginia §63.2-1601.1 or §63.2-1720 requiring the finalist candidate to submit to fingerprinting and provide personal descriptive information for a criminal history record check through the Central Criminal Records Exchange and a search of the Central Registry.
