Secretary (Office of Associate Director Patient Care Service) - Department of Veterans Affairs - Dublin, GA





Introduction: The incumbent serves as the primary clerical support to the Associate Director, Patient Care Services (ADPCS) and as backup administrative support for executive managers. Incumbent may be required to assist with or coordinate special or recurring Medical Center events

Major Duties:


Public Contact Work:


  • Receives, schedules, refers, and contacts members of the staff, agency, and persons outside the agency ranging from other government agencies to the general public

  • Regularly involved in high level contacts with visitors and callers from such organizations as : VA Central Office, VISN 7 program officials, congressional officials, members of the news media, state and local officials, high ranking officials in the field or industry, public action groups, attorneys, presidents of major national or international firms or organizations, and/or leading representatives of foreign government

  • Active interest in the office’s programs outside the organization represent a substantial portion of the supervisor’s work time and often greatly affect the program or mission, requiring frequent program adjustments

  • Assists with a variety of problems and inquiries which are received in person, telephonically, or by referral from other secretaries, receptionists or support staff in the organization

Mail, Correspondence, and Reports

  • Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication

  • Performs the following duties: edits letters, composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentations outlines, and develops standard or form letters and replies to inquiries

  • Develops background information and prepares outlines for the supervisor’s public speaking engagements, papers, and correspondence/reports

  • Monitors and submits Network Action Tracking System (NATS) replies for ADPCS Service; manages office files, etc

  • Accesses sharepoint sites to post and retrieve documents in support of ADPCS and ADPCS service line

Maintaining Appointments, Calendars & Schedules:

  • Schedules appointments, coordinates meetings, and/or schedules conferences

  • Researches and provides background on subject matter of meetings without direction, attends meetings, prepares meeting minutes and follows up on action items with appropriate staff members independently

  • Prepares and processes all travel requests for ADPCS and ADPCS staff

Funds Management

  • Services as Fund Control Clerk for Fund Control Points assigned to ADPCS Service, prepares reports for quarterly funds validation meeting with Chief Financial Officer

Office Supplies and Equipment

  • Obtains and monitors use of services, supplies or equipment for the office; answers questions concerning policies and procedures related to support/office services

  • Performs other duties as assigned

Work Schedule: 0800 am – 4:30 pm
