Please note: This position can be based in San Diego, CA or Washington, DC.
The Sr. Officer will report to the Sr. Director of Development and will work closely with the Development’s senior management team and other development team members.
S/he will be responsible for the management and supervision of all aspects of event coordination and meeting planning at PCI including, but not limited to the annual HANDS gala, Walk(s) for Water, small parties in private homes (salon events) and third party fund raising events, including PCI’s annual Robert F. Driver Memorial Golf Tournament and Day at the Races.
The Sr. Officer oversees both the silent and live auctions for the annual HANDS gala, and will be responsible for the solicitation, accounting, and packaging and organizing of all auction items. The Sr. Officer will be responsible for managing all event-based volunteers, including working directly with and supporting event-based auxiliary committees (HANDS, Walk for Water, etc.)
S/he is responsible for maintaining and building upon the overall quality of the events that comprise the PCI donor and volunteer experience. This position is required to work alongside members of the Board of Directors, Administration, IO employees and all members of the Development Department.
Key Duties & Responsibilities:
- Event management and supervision includes all aspects of event planning for HANDS, Walk for Water, major donor Salon events, various other fundraising events, on and off site meetings and receptions.
- In addition to managing the planning of all events, this position supervises the events, provides on-site event management, post event follow-up and financial reconciliation.
- Negotiate, coordinate, and manage the relationship with various vendors including researching vendors, scheduling meetings, reviewing proposals and contracts, and coordinating payments;
Volunteer Management, recruits and manages all volunteers required to support events.
Keep event details updated in Salesforce working in close connection with Development Coordinator, Donor Relations.
In close consultation with the Senior members of the Development team, develops invitation lists and manages and organizes the intake of RSVPs for all Development events.
Coordinate the design and mailing of save-the-date reminders, promotional materials, and invitations for all events; working in consultation with Senior Director of Marketing/Communications
- Working in consultation with the Senior members of the Development team, identify private donors to support PCI’s events; help as appropriate in development of plan to engage donor including cultivation, solicitation and stewardship.
Work with Senior Director of Marketing/Communications to create appropriate webpages, powerpoint presentations, databases, mail merges and production of event-specific materials;
Officer writes proposals and reports at the direction of the Director of Foundation and Institutional Relations and provides specialized support to other fundraisers by developing and sharing language for proposals and reports.
Position Parameters/Special Responsibilities Required:
- Must be available to attend meetings, trainings, conferences, and special events as required.
- May require domestic travel.
Must be able to travel throughout region approximately 30-40% time. Required Skills
Bachelor’s degree with a minimum of 3 to 5 years of experience in development required, preferably working in event-related capacity.
A genuine interest in advancing the mission of PCI.
Strong oral and written communication skills.
- Must have experience working with audio visual companies, production companies, rental companies, caterers and other vendors in San Diego.
- Excellent interpersonal skills and the ability to work within a matrixed organization.
- A thorough knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. A working knowledge of SalesForce and BidPal preferred.
- Strong attention to detail and ability to prioritize assignments in a fast-paced environment.
- Exemplary time management and multi-tasking skills necessary to meet deadlines and coordinate multiple projects.
