Office Support Specialist I-Casper - State of Wyoming - Casper, WY





Under general supervision provides customer service and serves as the first point of contact for the agency. Performs administrative duties for internal and external customers.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed in the job level.


  • Performs a wide variety of moderate to complex program and operational support duties.

  • Applies knowledge of programmatic and administrative requirements.

  • Accurately maintains agency files and records; inputs data into databases.

  • Prepares reports; verifies computer systems, databases and coded data for accuracy.

  • Responds verbally and/or in writing to requests for information.

  • Screens and corrects documents for procedural compliance; evaluates information for accuracy.

  • Provides customer service to customers, clients, and staff and acts as a resource and explains rules and procedures to co-workers, customers and/or clients.

  • Performs administrative duties requiring considerable judgment, which may involve fiscal, human resources, or other specific program areas.

  • Greets, screens visitors, interviews customers/clients to evaluate and determine needs.

  • Processes Pay Orders, setting and resolving applicable issues.

  • Processes incoming Faxes.

  • Performs specialized tasks and coordinates general office functions such as, administrative, property management, travel arrangements, procurement, personnel, information systems or fiscal duties, including office machine maintenance, supplies and reports, and provide training to staff in some of these areas.

Qualifications

PREFERENCES:

Preference may be given to those with customer service experience and communication experience. Preference may be given to those with Microsoft Word and Excel experience.


KNOWLEDGE :


  • Knowledge of Microsoft Office software and internet utilities at an advanced level.

  • Knowledge of applicable federal, state and local laws, codes, regulations and policies, technical processes and procedures related to the department.

  • Knowledge of the principles and procedures of financial record keeping and reporting, basic accounts payable and purchasing.

  • Knowledge of techniques for providing a high level of customer service.

MINIMUM QUALIFICATIONS:

Education:
Associate’s Degree (typically in Business)
PLUS
Experience:
0-1 years of progressive work experience (typically in Business Office communications) with acquired knowledge at the level of a Office Assistant II
OR
Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office communications) with acquired knowledge at the level of a Office Assistant II

Necessary Special Requirements

PHYSICAL WORKING CONDITIONS:


  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.

  • Special physical demands are not required to perform the work.

  • Some travel required.
