The Receptionist-Administrative Assistant is a vital position in the company to both customers and staff and is responsible for
reception duties, answering calls and general office duties. The successful candidate will be helpful, professional,
welcoming and friendly and will have a wide range of duties including (but not limited to);
Responsibilities:
• Answer incoming calls and directs the caller to the appropriate associate or transfer to voicemail when the associate is
not available
• Greets and directs visitors to the company and answers inquiries
• Maintains visitors log
• Take and retrieve message for various personnel
• Maintain calendars for departments and conference rooms
• Schedule meetings, travel, conferences and department activities
• Receives, sorts, and forwards incoming mail. Maintains and routes publications
• Coordinates the pick-up delivery of express mail services (FedEx, UPS)
• Assists in the ordering, receiving, stocking and distribution of office supplies
• Responsible for maintaining incoming receiving log and distributing to appropriate personnel
• Assists with other related clerical duties as assigned
Minimum Requirements:
• High School Diploma or equivalent
• 6+ months of experience working front office receptionist preferred
• Authorized to work in the US
Skill Requirements:
• High level of interpersonal skills and the ability to handle sensitive and confidential situations with poise, tact, and
diplomacy
• Must be organized, detailed, and ability to manage multiple projects
• Excellent written and oral communication skills
• Attention to detail in composing, typing and proofing of materials
• Ability to work independently on assigned tasks as well as to accept direction on given assignments
• Knowledge of use and operation of standard office equipment
• Familiar with Microsoft Office: Excel, Word, and Outlook
• Ability to work in a fast faced environment and juggle multiple competing demands, seeking supervisory assistance when
needed
Physical Demands
• Sitting possibly prolonged period of time, walking, standing, bending, lifting, seeing, hearing
• Use of office equipment
