JOB DESCRIPTION
The Operations Director shall oversee all day to day operations of the organization and perform the tasks or duties listed below. The position is based primarily in the United States with a limited amount of International traveling required. Communitere International does not operate a US based physical office so the day to day working would be done from a home office or co-working space.
DUTIES BY CATEGORY
Operations
Plan and execute the operations of Communitere International in accordance with the mission, values, by-laws, policies and directives of Communitere,
Work with the Executive Director to develop and present to the Executive Committee a strategy for accomplishing the objectives of the Board of Directors.
Communications
Serve as primary contact for Communitere Information and Communications, including, but not limited to:
Public Relations management – shared with the Executive Director.
Act as the point of contact or spokesperson as appropriate – shared with the Executive Director.
Act as networking and partnership development – shared with the Executive Director.
Act as the information repository.
Maintain a personal understanding of local, state and federal laws and regulations as they apply to the mission and operations of the organization.
Financial
Oversee monthly and quarterly assessments and forecasts of organization’s financial performance against budget, financial and operational goals. Oversee short and long-term financial and managerial reporting.
Reconciling monthly activity, generating year-end reports, and fulfilling tax related requirements.
Assist Executive Director and Board in creating annual organizational budget and monitoring cash flow.
Maintaining archival and administrative files.
Oversee process for gathering documentation and preparing annual audit.
Assist Development Committee with grants submissions.
Assist Development Committee in fundraising efforts as needed.
Management & Oversight
Manage Staff that reports directly to the Operations Director (“Staff” refers to all individuals performing tasks for Communitere International that are not directly managed by the Board of Directors, regardless of payment status, volunteer status, time commitment or other factor).
Supervise and monitor performance for any Staff that reports to the Operations Director (including, but not limited to, conducting staff evaluations).
Ensure proper contracts and agreements are signed and adhered to.
Help to develop and finalise the HR processes for hiring employees and employee handbooks and manuals.
Support staff as necessary.
REPORTING
The Operations Director shall report to and be supervised directly by the Board of Directors – Remuneration Committee.
QUALIFICATIONS
Strong background and work experience in Operational Management.
Excellent computer skills and proficient in Excel and Word.
Excellent communication skills, both verbal and written.
Knowledge and experience in organizational effectiveness and operations management implementing best practices.
Demonstrated leadership and vision in managing staff groups and major projects or initiatives.
Excellent interpersonal skills and a collaborative management style.
Budget development, financial reporting and oversight experience.
A demonstrated commitment to high professional ethical standards in a diverse workplace.
Delegate responsibilities effectively.
Excels at operating in a fast paced, multi-cultural community environment.
Open to direction and a collaborative work style.
Ability to challenge and debate issues of importance to the organization.
Ability to consider situations from several points of view.
Ability to travel and work from remote locations when required.
Have some interest and foreknowledge of disaster response and/or community development and grassroots movements.
Experience working in developing countries is a plus
