Primary Purpose:


Responsible for maintaining student records at the campus level. Process student enrollments, transfers, and


withdrawals for the campus.


Qualifications:


Education/Certification:


High school diploma or GED


Special Knowledge/Skills:


Ability to maintain accurate and auditable records


Ability to use personal computer and software to develop or maintain spreadsheets and databases, and do word


processing


Proficient keyboarding and file maintenance skills


Basic math skills


Strong organizational, communication, and interpersonal skills


Experience:


Three years clerical experience


Such alternatives to the above qualifications as the administration may find appropriate and acceptable.


Major Responsibilities and Duties:


Records, Reports, and Correspondence


Maintain physical and computerized records including student cumulative folders, progress and failure reports.


Process new student records, including requesting transcripts and records from other schools, setting up cumulative folder, and entering student data into appropriate databases.


Coordinate grading process, printing and distribution of report cards and progress reports.


Process and transmit requests for current and former students’ information, including student transcripts for colleges,


universities, scholarship applications, employment verification, and military enlistment. Also for use as proof of


identification and age for driver’s licenses, passports, social security benefits, etc.


Process withdrawn students records utilizing the State of Texas’ electronic records exchange software, TREx. Prepare and distribute University Scholastic League (UIL) eligibility lists.


Calculate grade point averages, cl ass rank, and prepare honor rolls.


Assist counselors with the enrollment, withdrawals, and t ransfer of students and process applicable records.


Assist campus administration and counselors with the preparation of reports and student data information.


Other


Maintain confidentiality of information.


Process verifications of education for employment purposes. Work with military recruiters.


Complete forms for Social Security and Government assistance.


Verifications of Enrollment (VOEs) for current students’ driver’s licenses and permits.


Supervisory Responsibilities:


None.


Equipment Used:


Personal computer, printer, calculator, copier, fax machine, and shredder.

Work with frequent interruptions, maintain emotional control under stress. Repetitive hand motions, prolonged use of


computer.
