Commonwealth Primary Care is seeking a Receptionist/Patient Care Representative


Summary of Duties
Facilitates the exchange of information between physicians, other health care providers, nursing staff, and others. Duties include answering the telephone, taking accurate messages, and scheduling appointments. Greets patients and obtains pertinent personal and insurance information. Enters and updates personal or insurance information in the automated data system. Batches and processes charge tickets. Collects payment for services rendered, maintains cash box and daily balance sheet of monies collected.


  • Greets and registers patients in a prompt, courteous, helpful manner. Verifies necessary information and records in the patients account.

  • Obtains most up to date insurance coverage.

  • Answers telephone, screens calls, takes messages and provides information as needed.

  • Schedules various patient appointments.

  • Requests patient’s charts from medical records when necessary.

  • Verify appointments for next day for physical and 30 minute appointments.

  • Reschedules or cancels appointments as necessary.

  • Generates charge tickets with appropriate information including patient’s name, date of visit and physicians number.

  • Collects co-payments due from patient and generates receipt for any monies collected.

  • Maintains cash box of co-payments, copes of cash receipts and daily balance sheet of monies collected.

  • Processes cash and receipts in compliance with Clinic protocols.

  • Restocks reception desk and maintains neat, organized work area. Keeps waiting room area neat.

  • Duplicates and distributes information from/to providers, nursing staff or other parties upon request.

  • As assigned, records providers work schedule in computer system.

  • Blocks provider’s scheduling for absence, meetings and vacation.

  • Attends meetings as requested.

  • Maintains patient confidentiality.

  • Screens visitors and responds to routine requests for information.

  • Assembles new patients’ charts for next day visits.

  • Performs other duties as assigned.

Knowledge, Skills and Abilities:


Knowledge of Business Office procedures. Knowledge of grammar, spelling and punctuation to type patient information. Skill in operating a computer and photocopy machine. Skill in greeting patients and answering the telephone in a pleasant and helpful manner. Ability to speak clearly and concisely. Ability to read, understand, and follow oral and written instructions. Ability to sort and file materials correctly by alphabetic or numeric systems. Ability to establish and maintain effective working relationships with patients, employees and the public.


EDUCATION: High school graduation or GED
EXPERIENCE:


  • 1-2 years prior work experience required, preferably attained in a physician office or other medical services environment.

  • Strong interpersonal organizational and communication skills required.

  • Light typing skills (45 wpm) and computer skills.

  • Some familiarity with medical terminology desired.

  • Experience with electronic medical records (EMR) desired.
