Juvenile Court - Receptionist - Vigo County, IN - Terre Haute, IN

Incumbent serves as Receptionist for Vigo County Juvenile Court, responsible for providing assistance to department personnel, accurately maintaining probation records, and assisting the public.

Examples of Duties:


Greets and checks-in individuals who enter building, including assigning numbers for court participants.


Answers telephone and transfer calls if necessary, including checking voicemail frequently.


Prepares court docket for upcoming court hearings, updating as required, and printing copy of docket for Clerk to process accordingly.


Prepares various documents, including, but not limited to, new birth certificates, and income withholding orders. Makes and provides copies of court orders when requested.


Maintains court forms and protective order forms.


Maintains court calendar, including transferring court calendar to electronic form for office use, adding additional dates as needed, and delivering updated court docket as required.


Notifies Probation of appointments. Delivers mail and faxes to Court and Probation staff.


Reviews requests for hearings, adding case number, mailing request for hearing if appropriate, completing forms for additional information request, an conduct CCS entry.


Contacts Prosecutor’s Office for money owed for agreement to stop support is submitted, making copies and ensuring proper signatures are obtained for approval.


Performs related duties as assigned.


Typical Qualifications:


High school diploma or GED.


Ability to meet all employer and department hiring requirements, including passage of a drug test.


Working knowledge of standard office and probation policies, procedures, related terminology, and computer/software programs used by the department, and ability to apply such knowledge to a variety of interrelated processes, tasks and operations.


Working knowledge of standard English grammar, spelling and punctuation, and ability to accurately prepare various forms/templates, and documents.


Knowledge of basic filing systems and ability to create and maintain accurate and complete department files and records.


Ability to type with speed and accuracy and properly operate a variety of standard office equipment, including computer, calculator fax machine, copier, and telephone.


Ability to effectively communicate orally and in writing with co-workers, other County departments, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.


Ability to provide public access to or maintain confidentiality of department information and records according to State requirements.


Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace and personal conduct.


Ability to understand, memorize, retain, and carry out written and oral instructions, and present findings in oral or written form.


Ability to work alone withminimum supervision and with others in a team environment.


Ability to work on several tasks at the same time, occasionally under time pressure.


Ability to read and interpret detailed prints, sketches, layouts, specifications and maps.


Ability to perform arithmetic calculations.


Ability to occasionally apply knowledge of people and/or locations.


Ability to occasionally work extended and/or evening hours for night court.


Supplemental Information:


Incumbent maintains frequent contact with co-workers, other County departments, Department of Child Services Support Division, and the public for the purpose of exchanging information, and explaining policies and procedures.


Incumbent performs duties in a standard office environment, involving sitting/walking at will, sitting for long periods, lifting/carrying objects weighing less than 25 pounds, keyboarding, speaking clearly, and hearing sounds/communication. Incumbent occasionally works extended and/or evening hours.
