United States of America: Project Assistant


Agribusiness Systems International (ASI) is a support institution of ACDI/VOCA that manages its own finances, logistical operations and portfolio of programs. While ASI works closely with ACDI/VOCA, both technical and logistically, we are an independent company with a small staff size that must be multi-functional and adaptive.


We are seeking a D.C.-based Project Assistant who will be responsible for supporting Agribusiness Systems International’s (ASI) administrative operations, projects, and proposal teams.


Essential Responsibilities:


Project Support
• Assist in hiring and mobilizing of staff for projects including:
o Draft scopes of work for staff and consultants.
o Complete requests for letter of assignment process for hired consultants.
• Complete travel arrangements, including related visas and documents, for staff and consultants.
• Collect and process field timesheets and ensure timely processing.
• Prepare and submit expense reports and travel advance with guidance.
• Review and submit payment requests for goods and services, and lease payments.
• Arrange meetings with internal staff and external clients, preparing handouts as needed.
• Collect approval signatures necessary for authentication, notary, power of attorney and other forms.
• Provide assistance in preparing, distributing and filing documents both physically and electronically.
• Follow-up on internal processes, bringing issues to closure.
• Prepare and submit procurement, contract and grants documentation.
• With guidance, draft project procurement plans.
• Assist in the preparation and review of quarterly reports.
• Assist in compiling, editing and distributing project updates.
• Assist in project Start Up and Close Out activities, as assigned.


Proposal Support
• Provide administrative and clerical assistance to New Business Development proposal teams; examples are formatting CVs, collecting documents, assembling proposals.
• Research and generate drafts of background reports.
• Under guidance, develop elements of the proposal budget.
• Under guidance, serve as a proposal coordinator on new proposals.


Minimum Qualifications:
• Bachelor’s degree in international development, agriculture, finance, economics, or other related field.
• Minimum of six (6) months’ work experience in a professional office environment.
• Demonstrated interest in international development topics and current issues.
• Demonstrated excellence in oral, written and reading comprehension abilities.
• Fluency in English and French required.
