Clerk/Receptionist, THP-El Paso - Texas Department of Public Safety - El Paso, TX

Perform responsible clerical, telephone console/switchboard and receptionist duties in a Texas Highway Patrol Field Office. Answer, transfer, and place local and long distance phone calls and greet visitors entering the building’s main lobby. Provide general information and perform clerical tasks which may include filing or typing summary reports, forms, tables and logs or controlling and accounting for postage stamp disbursement. Maintain continuous contact with the general public and refers unusual situations to supervisor or other DPS services. Work is performed under general supervision with some latitude for the use of initiative and independent judgment within the constraints of policy and procedural controls.

General Duties:


Depending on the geographical location and organization structure this position may perform a combination of or all of the following:


Perform routine clerical tasks such as typing, sorting, data entry, copying, maintaining records or logs, preparation of statistical summaries and data tables, filing, faxing, operating public address system, and assembling information materials or application packets. May also prepare vouchers or monthly summaries and maintain manuals.


Maintain the operation of a telephone switchboard console or multiple line telephone for a large functional unit. Answer, transfer, and routes calls, places local and long distance phone calls, take messages, and provides general information.


Distribute printed materials such as handbooks, maps, pamphlets, applications, and request forms.


Greet and register visitors, issue identification tags, and refer them to appropriate agency personnel, services, and/or resources of other organizations. Respond to routine inquiries and provides general information regarding rules, policies, and procedures. Perform duties as Notary for voluntary statements, complaints, and depositions.


Control the distribution and accountability of postage stamps for varied functional areas within the division, region, district, section, or offices of the Department of Public Safety.


Distribute incoming mail and maintain contact with varied postal service organizations such as US Postal Service, Federal Express, United Parcel Service, and Airborne for the receipt and dispatch of critical communication.


Answer inquiries and respond to formal requests for the purchase of traffic accident reports from the general public and business organizations such as Insurance Companies, Insurance Adjusters, Parole Officers, Probation Officers, Attorneys, and Judges. Locates, retrieves, and sells copies of accident reports.


Maintain receipt and accountability for collected fees associated with the sale of accident reports; collect fees for concealed handgun fingerprint applicants, and may sell vehicle inspection certificates and issue supplies, e.g., requisition forms, vehicle inspection certificate numbers, and log books.


Conduct a review of telephone and utility billing receipts, verifies for accuracy and identification of discrepancies.


Monitor and/or control building accessibility for the general public, Department employees, official visitors, and other outside agency personnel.


Operate and perform minor servicing of copy machine.


Perform other duties as assigned.


Education and Experience:


Graduation from a standard senior high school or the equivalent and some work experience (six [6] months or more) as a receptionist, general office clerk, or performing related work dealing with the general public.


Knowledge, Skills, and Abilities :


Thorough knowledge of applicable agency services, policies, procedures, and operational units upon completion of training.


Working knowledge of a telephone switchboard console.


Knowledge of record retention and record keeping systems.


Ability to schedule and prioritize tasks to provide effective and accurate processing of information under conditions involving considerable telephone and public interruptions and distractions.


Ability to address the public professionally with tact, diplomacy, and courtesy.


Ability to speak clearly and distinctly; and to follow non-technical written and verbal instructions.


Ability to use standard office equipment including typewriter, facsimile machine, copier, switchboard console, and/or calculator.


Ability to use a personal computer for data entry and/or word processing applications with training.


Ability to learn community resources for referral purposes.


Supplemental information:


DPS employee who is selected for a position in their current salary group and state title will be transferred with no salary change.


DPS employee who is selected for a position in their current salary group with a new state title may receive an increase up to 3.4%.


Salary is contingent upon qualifications and is subject to salary administration and budgetary restrictions.
